Overview:
The Office of the Provost is seeking a Coordinator for Campus and Community Events. The position reports directly to the Coordinator of Communications, Marketing, and Events and is an integral member of the Provost’s Office Creative Team.
The Coordinator for Campus and Community Events is responsible for supporting the planning and execution of the Provost’s Office academic events. To that end, the candidate for this position will help coordinate academic events, including strategic visioning, organization, and implementation related to event programs and production. Successful candidates must be able to work effectively within a diverse environment and with university representatives, including faculty, staff, students, alumni, volunteers, and community partners. In addition, ideal candidates should work independently in a fast-paced office, managing multiple projects and deadlines, setting clear objectives, and seeking continuous improvement.
Responsibilities:
- Assists in the planning and execution of academic, community and campus events that strengthen engagement with internal and external constituents.
- Supports events designed to foster interaction among university leadership, faculty, staff, students, alumni, community partners and distinguished guests, including special recognition programs, commencement and award ceremonies.
- Assists with the planning and execution of special engagements and high-profile events.
- Coordinates event logistics, including designing invitations and programs; developing and managing guest lists; coordinating mailings and responses; securing vendors (entertainment, tenting, rentals, catering, security and parking); preparing budgets and vendor contracts; developing event summaries and itineraries; and coordinating committees and volunteer support.
- Assists with coordinating travel and accommodations for internal and external dignitaries, including speakers and lecturers for commencement ceremonies and lecture series.
- Maintains and updates the Provost Office events calendar.
- Manages vendor agreements, including professional services contracts; prepares RFPs; processes invoices; and oversees procurement and sourcing activities.
- Develops event protocol and coordinates audio/visual needs, including assisting with A/V setup for major presentations, events and conferences.
- Collaborates with campus partners in the planning and execution of Provost Office events across various university units.
- Provides general university information and assistance to event attendees as needed.
Qualifications:
- Bachelor's degree and 2 years of experience in event planning, public relations, hospitality, and general office operations.
