Calvary Kids’ Early Childhood Coordinator and Ministry Administrative Assistant

Reports to:  Director, Calvary Kids
FLSA Status: Salaried (Exempt)
Hours per week: 40 hours, Full-Time

Job Summary:
This position ensures a vibrant, organized, and Gospel-centered environment for young children and their families. While the Coordinator responsibilities focus on leading Sunday and Wednesday experiences for Pre-K through Kindergarten, the Administrative responsibilities provides the essential technical, and logistic support that keeps operations seamless. Ultimately, this role aligns administrative excellence with hands on ministry leadership to advance the mission and vision of Calvary Kids.

Essential Duties and Responsibilities:
• Assist in planning, developing, and leading Kids' Ministry programs, including Sunday and Wednesday services (Early Childhood), VBS, and special events (Romans 15:4)
• Oversee classroom setups and breakdowns, ensuring a safe, clean, and welcoming environment for Early Childhood (Proverbs 22:6)
• Recruit, onboard, and equip volunteers, fostering a safe and welcoming space for foundational spiritual discipleship
• Ensure all volunteers and staff comply with child-protection policies and procedures, including background checks and safety training (1 Peter 5: 2-3)
• Develop volunteer leaders/partners to lead classroom specific tasks and worship
• Schedule and communicate with volunteers in Early Childhood (Proverbs 16:3)
• Occasionally lead or teach classroom Bible stories
• Help facilitate classrooms and assist in CCA Early Childhood chapels as needed
• Match volunteers to appropriate serving roles based on their skills, availability, and ministry needs
• Partner with the CCM Volunteer Director to facilitate volunteer background checks, coordinate training, and manage volunteer applications within Ministry Platform (Mark10:45)
• Collect, organize, and enter weekend, midweek, and occasional event attendance using classroom rosters
• Assist the Kids' Director in drafting, scheduling, and sending regular email updates to parents via Ministry Platform
• Coordinate and prepare weekly coffee, snacks, and hospitality areas to create a welcoming environment for volunteers (Colossians 3:17)
• Participate in Calvary Kids’ bi-weekly team meetings
• Other duties as assigned by supervisor (Colossians 3:23)

Job Skills and Competencies:
• A praying, committed, growing Christian with an authentic, mature personal walk with Christ
• A humble, servant-hearted team player with a passion and calling for discipling young children
• Minimum of 1 year of direct experience working with children in a church or educational setting, preferably in a leadership capacity
• Experience in recruiting, training, and supervising volunteers
• Excellent organizational skills and strong attention to detail, with the ability to manage multiple tasks simultaneously (1 Corinthians 14:40)
• Strong written, verbal, and interpersonal communication skills, with the ability to work effectively with children, parents, volunteers, and staff (Colossians 4:6)
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and a working knowledge of Ministry Platform
• Ability to work a flexible schedule, including occasional support for events as needed
