Job Summary

The City of Fort Collins is looking for a Business Support ll to join our Planning and Development Services department. This is a full-time salaried position with the City with an anticipated hiring salary range of $44,000-$55,000 a year! This Business Support II serves as the primary front-counter customer service representative, providing professional, courteous assistance to walk-in customers and supporting daily office operations.

This position responds to inquiries, connects customers with the appropriate resources, and utilizes a broad understanding of departmental services to deliver exceptional customer service. The role requires dependable onsite attendance five (5) days per week, strong interpersonal and communication skills, sound judgment, and the ability to balance multiple priorities while providing high-quality service to internal and external customers. Beyond front-counter customer service duties, the Business Support ll is a critical function within our organization, with the responsibility of managing and safeguarding our vital records, both in physical and digital formats.

Your role will involve creating, organizing, and classifying records, ensuring they are easily accessible, and maintaining their accuracy. You will play a key role in adhering to established policies and regulatory requirements while managing data entry and verification tasks, guaranteeing the integrity of our records. Compliance with data retention and disposal policies, along with providing training and support to staff, will be part of your responsibilities. Your attention to detail, knowledge of data privacy regulations, and strong organizational skills will contribute significantly to the success of our record management efforts.

Essential Duties and Responsibilities

  • Establishes and maintains effective office systems and procedures, including supply inventory.
  • May provide customer service for internal customers and citizens, including explanation and interpretation of policies and procedures, in person and via telephone.
  • Responsible for supporting a specific project or program for a department or division as assigned.
  • Enters data, compiles records and reports; tabulates or posts data; may develop and maintain data bases.
  • Compiles and organizes materials for various programs and/or projects.
  • Provides clerical support including preparing or answering correspondence; may open and route incoming mail and prepare outgoing mail.
  • May conduct marketing and sales activities.
  • May provide basic financial support through fee collection, data entry and tracking.
  • May coordinate schedules for meetings, training, or travel; may prepare agenda for and transcribe minutes at meetings.
  • Acts as liaison to other City offices.
  • May administer document and record management systems.
