Primary Purpose of the Organizational Unit

Lloyd International Honors College is an independent academic unit reporting directly to the Provost and is under the Division of Academic Affairs. Currently it houses four Residential Colleges and the Undergraduate Research, Scholarship, and Creativity Office. The office currently is comprised of 10 permanent staff members, two graduate assistants, and 4 undergraduate student assistants. LIHC recruits outstanding undergraduate students to UNCG, administers three Honors Programs, directs four Residential Colleges, and oversees the Undergraduate Research, Scholarship, and Creativity Office. It serves over 1,500 students and offers approximately 50 sections of honors courses annually.

Position Summary

This position will provide budget and HR management of the unit and oversee daily operation of office management. Additionally, this position will manage unit data and communicate with constituents.

Minimum Qualifications

  • Bachelor's degree in business administration or related field and three years of professional experience.

Business Administration

Essential Tasks

  • Manage all business functions for LIHC across the area units, a wide variety of business operations including but not limited to processing all expenditure transactions for payment to vendors, individual reimbursement to faculty, staff, and students across campus who receive funding from LIHC; processing honoraria and contracted services payments, travel documentation and reimbursement; consulting with vendor and processing payment for contracted services; initiating requisitions and processing final receiving of purchases via the SpartanMart system; processing unit-level budget transfers and flexes via the Banner System; reconciling P-cards through Chrome River; grant management; budgeting; and applying a high level of discretion and independent judgement for each of the functions mentioned above. Assist in the strategic planning for unit including unit growth projections.

Human Resources. Supervision/Management

Essential Tasks

  • Serve as the hiring manager for the unit, serving as the HR liaison, and assisting in the HR review process for all hiring searches.
  • Maintain all EHRA/SHRA personnel files and process monthly time entry for all members of the unit. Draft all electronic personnel action forms (EPAFs) for LIHC including student assistants. Holds unit level approval authority.
  • Apply University and UNC System policies and procedures to human resources practices. Oversee workflow and make decisions as part of the team.
  • Work independently with university personnel, departments, and outside contractors to ensure smooth functioning of all aspects of LIHC.
  • Supervise student employees (both graduate and undergraduate). Mentor, train and discipline as necessary.
  • Assist in the planning for future staffing needs and help identify funding source(s) for these.

  • Ability to choose an effective course of action or develop appropriate solutions and/or reach conclusions for complex situations.
  • Take action consistent with available facts, constraints, and anticipated consequences.

Communication

Essential Tasks

  • Communicate information to individuals or groups; deliver presentations suited to the characteristics and needs of the audience. .
  • Clearly and concisely convey information orally or in writing to individuals or groups to ensure that they understand the information and the message.
  • Listen and respond appropriately to others using the appropriate media (e.g. email, presentation, etc). Examples of this include the communication surrounding and implementation of the Provost Student Excellence Awards where departments across the University recommend top students for the award.
  • Monitor LIHC phone/email and respond to students, parents, faculty, etc. about complex issues.

Financial management

Essential Tasks

  • Manage all funds for the LIHC Office and its functional areas which together consist of state funds, restricted and unrestricted funds, scholarship funds from endowments and donations, revenue generated from student fees, federal and state grants, all in excess of $2.5M.
  • Audit the reconciliation of daily expenditures and revenues of all operating budgets.
  • Monitor all funds to stay current with available resources, avoiding negative balances, and resolving negative balances when they occur.
  • Analyze data and provide monthly financial reports to the Dean to keep them updated with current balances. Perform budget analyses and conduct budgetary forecasting.
  • Verify, interpret, and process activity in each salary line including student worker salaries, salary reserve, and vacant positions for the unit.
  • Review and help forecast the annual internal budget proposal process, applying knowledge of upcoming financial developments from across the institution.
  • Hold unit level budgetary authority, applying individual discretion and judgement regarding the utilization of all funding sources to ensure the welfare of the unit.
  • Serves as the department's representative for any University Financial Services informational meetings.
