Qualifications:

Education:

  • High School or Technical School diploma required
  • Associates or Bachelors degree from an accredited college or university preferred

Knowledge, skills and abilities:

  • Ability to describe problems and work orally or in writing to supervisor as needed
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work
  • Ability to carry out instructions furnished in written or oral form
  • Ability to add, subtract, multiply and divide and perform arithmetic computations
  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, PowerPoint)
  • Ability to work with a diverse group of individuals
  • Ability to process paperwork accurately according to standardized procedures
  • Ability to maintain confidentiality of information regarding students, employees and others, financial information, collective bargaining information, etc.

Experience:

  • Prior secretarial experience preferred

Reports To: School Business Administrator/Board Secretary

Primary Function:

To assure the efficient and effective operation of the Board of Education Office for maximum positive impact on the educational function of the district.

Performance Responsibilities:

  • Complete the employment process of new staff members, together with the monitoring of required documents; i.e. employment forms, background check, drug screening, health examinations, etc. while complying with changes to state and federal requirements.
  • Generate or amend staff member contracts.
  • Maintain personnel files.
  • Create Board Meeting agendas and handle resulting correspondence.
  • Prepare and distribute all legal notices and bids.
  • Create and process purchase orders, maintain accurate vendor records.
  • Coordinate all reservations and accommodations for workshops and conferences for all staff and Board members.
  • Provide administrative support, which may include answering phones, maintaining various office files, initiating and drafting correspondence and other related duties.
  • Receive employee and student accident reports and send out any necessary paperwork.
  • Maintain all shared services contracts and record payables and receivables.
  • Maintain preschool payments and correspondence and summer enrichment program.
  • Maintain databases for district's online safety training and purchasing co-op.
  • Maintain a high level of confidentiality in all work related matters.
  • Perform any other tasks or duties assigned by the Superintendent or Business Administrator/Board Secretary.

Additional Duties: Performs other related tasks as assigned by the Child Study Team Supervisor and other central office administrators as designated by the Superintendent.
