Schedule:

  • 8 hours per day
  • 261 days a year (includes 13 paid holidays)

Pay Range/Classification:

  • $24.09 - $28.37 per hour depending on experience.
  • Position classified B-2-3
  • LEAF (Lakeville Education Assistants Federation) bargaining group

POSITION SUMMARY: This position will provide administrative, organizational and technical support to the Executive Director of Business Services, the Business Office & FPP Departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The essential functions of this position may include, but are not limited to, the following fundamental duties:

  1. Provides direct support to the Business Office & FPP departments, coordinating efforts of the team.

  2. Acts as a main point of contact for the departments.

  3. Backs up the Procurement Specialist to list and reconcile all auction items.

  4. Files all 1st Report of Injury forms for Work Comp claims in a timely manner.

  5. Serves as liaison between the district and Insurance Agency in processing district Certificates of Insurance.

  6. Assists with processing of deposits in the Finance system.

  7. Manages internal communications for the Executive Director of Business Services.

  8. Manages content for department web pages.

  9. Prepares materials, coordinates and communicates the quarterly Finance Meetings with district staff.

  10. Acts as a back-up to AP for processing payroll-related vendor payments.

  11. Assists with digitizing, organizing and storage of departmental documents of record.

  12. Provides back-up support for student transportation fee-option issues and questions.

  13. Assists in the preparation and creation of the district's Budget Book.

  14. Assists in the preparation and reporting for the Levy Certification and Truth-In-Taxation communication.

  15. Assists with job posting requisitions and new hire forms for FPP and Business Services.

  16. Assists with FPP updates and audit preparation.

  17. Completes all other duties as assigned by the Executive Director of Business Services.

POSITION QUALIFICATIONS (Specific training or job experience required before appointment):

  1. High school diploma or equivalent required with preference of post-secondary work concentrating in business, accounting or project-management courses. Bookkeeping experience may be helpful.

  2. Proficiency in Microsoft Office and Google Documents.

  3. Ability to multitask in a fast-paced environment.

  4. Excellent oral and written communication and proofreading skills.

  5. Technical skills to be able to operate and troubleshoot office equipment.

  6. Ability to use judgment to be an asset to the department's organization.
