Position Summary

The Business Office Assistant supports the day-to-day administrative and financial operations of the facility. This role works closely with the Administrator and Business Office Manager to ensure efficient office processes, accurate documentation, and excellent customer service for residents, families, and staff.

Key Responsibilities
  • Assist with resident trust accounts and financial records
  • Process and maintain billing for Medi-cal Hospice, and private-pay residents
  • Apply and assist with Medi-cal applications
  • Collect and post payments
  • Help residents and families with billing questions
  • Verify insurance coverage and benefits
  • Maintain resident financial files and documentation
  • Assist with admissions and discharge paperwork
  • Prepare bank deposits and reconcile accounts
  • Process accounts receivable and follow up on outstanding balances
  • Maintain confidentiality of resident financial and medical information (HIPAA compliance)
  • Answer phones, greet visitors, and provide customer service
  • Generate reports and assist with audits as needed
  • Support the Business Office Manager with administrative tasks and special projects
Skills & Qualifications
  • Strong organizational and customer service skills
  • Knowledge of Medicare, Medi-cal, and insurance billing preferred
  • Experience with accounts receivable or healthcare billing
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to handle sensitive information confidentially
  • Strong attention to detail and accuracy
  • Experience in long-term care, skilled nursing, or healthcare settings preferred
Work Environment
  • Fast-paced healthcare setting with frequent interaction with staff, residents, and families
  • Primarily office-based with occasional walking throughout the facility
