QUALIFICATIONS:
- Certified Medical Assistant
- High school diploma or equivalent required; associate degree or coursework in healthcare administration or a related field preferred
- Previous experience in healthcare, administrative, customer service, or call center setting is a plus, but not required
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
- Excellent communication skills, both verbal and written, with a professional and friendly demeanor
- Comfortable using computers, email, and basic software systems (EHR/EMR experience is a plus but not required)
- Ability to handle sensitive information with confidentiality and professionalism
- Strong attention to detail and accuracy when tracking and entering information
- Ability to work independently while also collaborating with a team
- Willingness to learn new processes and adapt in a fast-paced environment
KEY RESPONSIBILITIES:
- Triage incoming intake calls and route them to the appropriate coordinator based on location, providing basic status updates and ensuring a smooth handoff
- Review and process incoming faxes daily, distributing referrals and documentation to the appropriate assigned staff in a timely manner
- Assist with scheduling new patient admissions, including coordinating availability and confirming appointment details
- Support rescheduling efforts for patients who missed their initial admission visit, including coordinating and confirming follow-up attempts
- Maintain and update the daily log, including tracking admissions and coordinating with nurse practitioners on visit confirmations or rescheduling
- Send welcome emails to new patients, including all necessary forms and resources
- Verify that referrals from multiple sources are accurately received, documented, and entered into the tracking log
- Perform other coordination and support duties as assigned to meet operational needs
