## Position Summary The Facilities Business and Operations Coordinator will oversee the communication and organization of work orders related to all campus maintenance requests submitted through the Computerized Managed Maintenance System (CMMS), as well as those received via phone calls, radio communications, and support from on-site vendors. This role also entails processing Purchase Order requests and facilitating invoice payments and recharges within the Universitys Financial Management software for the Facilities Management department. The role will also act as secondary/support for campus events requiring support from the Facilities Maintenance team.

## Principal Accountabilities

  • Provide support with the computerized maintenance management system (CMMS) by processing and updating service maintenance requests, ensuring they are dispatched to the appropriate department/person(s) for response.
  • As part of the organizations asset management program, the incumbent will be responsible for updating and maintaining preventative maintenance schedules for all campus equipment and assets.
  • Oversee the recruitment and onboarding of student employees who will provide administrative support of the Business and Operations Coordinator and Facilities department.
  • Provide office management support related to departmental supplies along side with the ordering of repairs and maintenance equipment from authorized websites.
  • Supports the Universitys Fleet Management Fuel system (GasBoy).
  • Assists the departments accounts payable email account. This consists of daily receipt of invoices, payment inquiries, statements, and other miscellaneous requests.
  • Processes new vendor setups. Requires obtaining w9s and new vendor information required by Universitys Accounts Payable department.
  • Support the processing of invoices and purchase order requests. This also includes the tracking of license renewals for trades, custodial and grounds workers as well as the annual uniform expense reimbursement.
  • Reconciliation of department store credit cards (Home Depot, Lowes) and Campus Management P-Card.
  • Reconciliate and recharge gasoline, event labor and other miscellaneous items to appropriate department.
  • Other duties as assigned.

## Qualifications This position is best filled by an individual with an undergraduate degree and/or 2 - 3 years of relevant administrative experience. The selected candidate must have:

  • Strong problem-solving and excellent customer service skills.
  • Must be able to deal with a variety of different situations and be able to independently prioritize and use problem solving skills to resolve issues in a timely manner.
  • Strong communication skills (written and verbal).
  • Proper use of email and other forms of business communications.
  • Strong attention to detail.
  • Strong technical skills including use and knowledge of Microsoft Office Applications, Financial Accounting Systems, and other applications (Google Docs, etc.), Banner experience is preferred but not required.
  • Strong office skills.
  • Knowledge of office equipment (printing & scanning).
