Bookkeeper / Administrative Specialist


Stanley Lewis Plumbing & Heating Corp. is seeking an experienced, detail-oriented Bookkeeper / Administrative Specialist to join our growing team in Brooklyn, NY.


We are a local, family-owned and operated full-service plumbing and heating company specializing in residential and commercial renovations, installations, maintenance, service, and repairs. What You’ll Do


The Bookkeeper / Administrative Specialist will support the company’s financial operations, office organization, and customer/vendor coordination. Responsibilities include:


  • Maintain accurate financial records using QuickBooks and Microsoft Excel.
  • Record daily transactions, deposits, vendor bills, customer payments, and adjustments.
  • Manage accounts payable and accounts receivable, including check runs, payment tracking, collections support, and vendor account reconciliation.
  • Prepare invoices from technician work orders and ensure billing accuracy.
  • Review job costs, service tickets, purchase records, receipts, and expense submissions.
  • Produce financial reports, including Profit & Loss, income statements, job costing summaries, KPI reports, aging reports, and cash-flow related reports.
  • Assist with payroll-related recordkeeping, employee expense reports, and documentation.
  • Reconcile bank accounts, credit cards, vendor statements, and customer balances.
  • Research and resolve invoice discrepancies, payment issues, and account questions.
  • Maintain organized digital and physical filing systems to support financial records and audits.
  • Support year-end preparation, audits, tax documentation, insurance requests, and compliance-related paperwork.
  • Maintain and update customer, vendor, and job databases with current information.
  • Use modern bookkeeping tools and workflows, including cloud-based accounting systems, digital document storage, online banking portals, spreadsheets, and reporting dashboards.
  • Assist with general administrative duties as needed.
What We’re Looking For


The ideal candidate is reliable, experienced, highly organized, and comfortable taking ownership of bookkeeping responsibilities in a growing company.


Required qualifications:


  • 7 or more years of bookkeeping or general accounting experience.
  • Strong experience with QuickBooks and Microsoft Excel.
  • Solid understanding of accounts payable, accounts receivable, reconciliations, invoicing, financial reporting, and bookkeeping best practices.
  • Ability to work accurately with a high volume of financial details.
  • Excellent attention to detail, follow-through, and time management.
  • Strong written and verbal communication skills.
  • Ability to liaise professionally with customers, vendors, technicians, and management.
  • High level of confidentiality, integrity, and accountability.
  • Strong problem-solving skills and the ability to identify and resolve discrepancies.
  • Comfortable using digital tools, spreadsheets, cloud-based systems, and paperless workflows.
  • A proactive, take-charge attitude with the ability to stay organized in a fast-paced environment.
Experience in the construction, plumbing, HVAC, service, or trades industry is strongly preferred.

Compensation: $46,800 - $52,000
