Position Overview

RehabVisions is hiring a Clinic Billing Specialist to help keep our clinics running smoothly by ensuring claims are processed accurately, payments are posted correctly, and follow-ups are handled with urgency and care. This role is ideal for someone who likes solving puzzles, working with numbers, and getting real satisfaction from closing the loop from claim submission to reimbursement. You’ll partner with internal teams, insurance carriers, and occasionally patients to support timely, accurate billing outcomes while protecting patient information and following all HIPAA and facility-specific requirements.

What You’ll Do (Essential Duties & Responsibilities)

  • Understand and apply fee schedules, eligibility records, commercial carriers, PPOs, MCOs, Medicaid, Medicare, and reimbursement trends.
  • Manage accounts receivable: track payments, follow up on overdue accounts, and resolve billing issues.
  • Investigate denials and submit claim corrections and appeals.
  • Work to reduce delinquent payments for assigned accounts.
  • Process payments and contractual adjustments accurately.
  • Prepare and issue accurate patient invoices for services provided.
  • Monitor and review invoices and follow up with the appropriate internal or external teams to ensure payment is made.
  • Prepare reports and spreadsheets related to billing and receivables for month-end.
  • Handle billing inquiries quickly and efficiently.
  • Maintain detailed financial records of all financial-related documents.
  • Maintain confidentiality of all patient/client protected health information according to HIPAA and facility-specific rules and regulations.
  • Present a positive, service-oriented approach with patients/clients, family, caregivers, facility staff, and co-workers at all times.
  • Attend department/clinic meetings, training sessions, and conferences.
  • Understand and comply with RehabVisions’ policies and procedures, including but not limited to universal precautions, safety, risk, and emergency.

Qualifications and Requirements

  • Associate degree in Business, Accounting, Healthcare Administration, or a related field preferred, or a minimum of four years of relevant work experience.
  • Previous billing experience, preferably in physical, occupational, and speech therapy, is strongly preferred.
  • Proficient in Microsoft Office Suite, with strong computer and data entry skills.
  • Ability to quickly learn and effectively utilize specialized billing and practice management software.
  • Strong attention to detail with a high degree of accuracy and the ability to follow established procedures and workflows.
  • Ability to work efficiently in a fast paced, deadline driven environment while managing multiple priorities.
  • Excellent organizational, problem solving, and time management skills.
  • Demonstrates professionalism, integrity, and a positive attitude while maintaining strict confidentiality.
  • Strong communication and interpersonal skills with the ability to work collaboratively as part of a team.
  • Ability to adapt to changing priorities and contribute to continuous process improvement.
