JOB INFORMATION

The Bilingual Human Resources Administrative Assistant is responsible for providing exceptional customer service, answering and directing calls, and providing basic technical assistance related to all HR services, with a focus in the assigned areas of responsibility. This position works closely with all Human Resources staff to provide support in various administrative tasks and is responsible for maintaining current technical knowledge of assigned areas of responsibility to provide effective service to the college community.

DUTIES & RESPONSIBILITIES

Reception & General Department Support

  • Responsible as the first point of contact for all areas of Human Resources, including but not limited to telephone calls, email, and in person.
  • Provides quality customer service by incorporating respectful, patient, positive, and solution focused behaviors and attitudes.
  • Refers internal and external customers, job applicants, and employees to appropriate department or campus resources.
  • Responsible for the Human Resources main phone line. Provides information to callers; and directs them to appropriate departments.
  • Takes messages and provides general guidance regarding departmental information, policies, and procedures
  • Handles document tracking, data entry, and maintenance, ensuring accurate routing and recommending corrections for clarity and accuracy.
  • Oversees office supply inventory by tracking stock, identifying low-quantity items, coordinating orders, and ensuring timely distribution to employees and shared office areas.
  • Oversees and streamlines the Human Resources inbox and calendars, ensuring efficient triage, clear organization, and proactive scheduling support.
  • Uses College systems to process, organize, and enter official copies of college/university degrees and transcripts for Human Resources.
  • Assists departments within Human Resources with special projects as requested and provides direct support to the Human Resources Administrative Coordinator.
  • Maintain electronic files and associated records, ensuring the ongoing security of current info
  • Provides essential administrative support including copying, scanning, filing, and general office tasks, while preparing meeting materials, event flyers, and handouts to ensure smooth and well-organized meetings and events.
  • Schedules, meetings, conferences, and appointments, for the Human Resources Conference Room.

  • Provides actionable feedback to drive process improvements and supports the creation and maintenance of process documentation, training materials, and how-to guides.
  • Applies internal policies, procedures, guidelines, as well as applicable Federal, State, and Local laws, rules, and regulations when responding to inquiries and making recommendations for actions.

CANDIDATE QUALIFICATIONS

Minimum Qualifications:

Two years (2) of full-time work experience that reflects the knowledge, skills and experience to perform the essential functions listed above.

  • OR-

Associate's Degree in Business Administration, HR Management, Office Administration, Communications or a related field.

  • AND-

Bilingual (English & Spanish)

  • Knowledge in customer and personnel service principles, including needs assessment, service quality standards and satisfaction evaluation.
  • Ability to maintain current on computerized recordkeeping system(s).
  • Demonstrates proper phone etiquette, including courteous communication and professional tone.
  • Demonstrates flexibility in rapidly changing environments and remains productive despite frequent interruptions. Demonstrated interpersonal skills as applied to interaction with diverse populations of staff, students, and the public.
  • Ability to maintain confidentiality and professionalism while handling sensitive information with discretion and ease.
  • Ability to effectively handle irate or distressed customers with patience, professionalism, and composure.
  • Demonstrates strong decision-making skills by independently resolving routine matters while recognizing when to escalate issues, request direction, or delegate tasks to ensure effective outcomes. Ability to understand and carry out both oral and written instructions with accuracy and consistency.
  • Ability to work through tasks in a timely, efficient and accurate manner while maintaining high quality standards.
  • Ability to follow, apply and clearly explain instructions, guidelines, and policies in a way that is easily understood by non-technical audiences.
  • Knowledge of English grammar, spelling, and punctuation, and the rules of written composition.
  • Bicultural/multicultural skills sufficient to select appropriate behaviors, values and attitudes within different cultures during interactions with others

SCHEDULE & MODALITY

This position is not eligible for remote/hybrid work.

TERMS OF EMPLOYMENT

  • This is a 100%, 12-month classified assignment at pay grade 11.
  • This position has a 6-month probationary period
  • All positions at Chemeketa are required to be available for work onsite as requested by the college.
  • Requires flexible work schedule to meet program needs, which may include evenings and/or weekends
  • This position may require the use of your personal vehicle for transportation between campus locations
  • If requested, requires the provision of official transcripts upon hire
  • Employees must maintain Oregon, Washington or Idaho residency as a condition of employment.

PHYSICAL REQUIREMENTS

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Even though weight lifted may be negligible, it may be rated light work if frequent walking and/or standing is required.
