Essential Duties and Responsibilities

  • Administer employee benefit programs including medical, dental, vision, life insurance, long-term disability, flexible spending accounts, health savings accounts, and other benefit offerings.
  • Coordinate employee benefit enrollment, changes, terminations, and annual open enrollment processes.
  • Serve as the primary contact for employees regarding benefit eligibility, coverage, claims, and enrollment questions.
  • Process and maintain accurate employee benefit records and ensure timely updates in applicable systems.
  • Administer and coordinate Family and Medical Leave Act (FMLA) requests, including eligibility determinations, notifications, tracking, and compliance documentation.
  • Coordinate leaves of absence, including medical leaves, disability leaves, military leave, and other approved employee absences.
  • Facilitate and monitor long-term disability and other employee insurance claims with carriers and third-party administrators.
  • Coordinate and administer compliance training.
  • Complete Medicare compliance notification and process Medicare retiree forms.
  • Work with the business office to onboard staff to retirement savings options.
  • Inform staff of retirement information contacts.
  • Comply with reasonable assurance guidelines.
  • Complete annual service awards certificates and pins.
  • Administer Medical bid process triennially.
  • Coordinate Independent Medical Examinations (IMEs), including scheduling, communication, documentation, and follow-up activities.
  • Review and maintain confidential medical documentation and employee records in accordance with applicable laws and regulations.
  • Ensure compliance with federal and state laws including FMLA, COBRA, HIPAA, ACA, Sick and Salary reporting, Disability Tax Reporting, and other applicable employment regulations.
  • Complete unemployment verification processing.
  • Help staff access Employee Assistance Program.
  • Coordinate COBRA notifications and administration with applicable vendors and service providers.
  • Reconcile benefit invoices and verify accuracy of employee deductions and employer contributions.
  • Assist with payroll-related benefit deductions and collaborate with payroll staff to resolve discrepancies.
  • Prepare reports, audits, and documentation related to employee benefits and leave administration.
  • Enter new employees into the District's database.
  • Coordinate annual benefits renewals and assist with benefit plan implementation and communication efforts.
  • Work collaboratively with insurance brokers, carriers, legal counsel, medical providers, and third-party administrators.
  • Respond to employee and administrator inquiries regarding benefits, leave administration, and related policies in a timely manner.
  • Use the business office software to process monthly payments.
  • Coordinate influenza vaccine clinics.
  • Manage health and wellness programming.
  • Participate in the main door answering rotation.
  • Maintain electronic and paper files in accordance with record retention requirements.
  • Participate in cross-training and professional development activities.
  • Utilize computer applications such as spreadsheets, databases, human resource information systems, word processing, calendar, and e-mail software in the performance of the duties of the position.
  • Independently organize work, set priorities, meet deadlines, and follow up on assignments.
  • Maintain regular and reliable work-site attendance.
  • Communicate effectively in person, over the phone, and in writing.
  • Establish and maintain cooperative and effective working relationships with others.
  • Perform other duties as assigned.

Qualifications

  • High school diploma required. Associate's degree or higher preferred. Major in Human Resources, Business Administration, Public Administration, Healthcare Administration, or a related field preferred.
  • Three years of experience in employee benefits administration, human resources, payroll, insurance administration, K-12 schools, or a related field preferred.
  • Knowledge of employee benefit plans, leave administration, and applicable federal and state employment laws preferred; willingness to learn required.
  • Experience administering FMLA, disability claims, and employee leave programs preferred; willingness to learn required.
  • Demonstrated ability to manage confidential information with professionalism and discretion.
  • Demonstrated knowledge and implementation of relevant technology applications, including human resources information systems and benefits administration software.
  • Ability to establish priorities and meet deadlines accurately and precisely.
  • Self-directed with the ability to perform job tasks with minimum supervision.
  • Customer-service oriented with strong writing and verbal communication skills.
  • Strong interpersonal skills to maintain effective relationships with employees, administrators, medical providers, insurance carriers, and external agencies.
  • Demonstrate a high degree of initiative, ability to complete tasks independently, and the ability to manage multiple priorities simultaneously.
  • Ability to recognize problem areas, seek and provide solutions, and improve operational efficiency.
  • Demonstrate strong analytical, organizational, and recordkeeping skills.
  • Represent the West Bloomfield School District in a positive manner to internal and external stakeholders.
  • Demonstrate a sincere liking for people of all ages and the ability to resolve concerns while maintaining objectivity and supporting the needs of the organization.

Work Mode

The work for this position requires a fully onsite presence.

Salary

In accordance with the current Administrative Assistant Contract.
