Job Summary

The Benefits Specialist is responsible for the day‑to‑day administration of health and welfare benefits within the Human Resources department, including eligibility management, employee elections, life‑event processing, online enrollment oversight, and payroll deduction accuracy. This role ensures timely reconciliation and processing of benefit plan invoices, maintains compliance with federal and state regulations, and serves as a primary resource for employees, HR partners, and vendors regarding benefit‑related inquiries. The Benefits Specialist also supports data integrity, reporting, and continuous process improvement within the benefits function. This position may also be referred to as an employee benefits specialist or benefits administration professional.

Qualifications

  • Minimum of 4 years of experience in employee benefits administration
  • Demonstrated experience reconciling benefit plan invoices and resolving discrepancies
  • Working knowledge of ACA, HIPAA, DOL, ERISA, COBRA, IRS regulations, and related compliance requirements
  • Strong customer service skills with the ability to build productive relationships with employees at all levels and external vendors
  • Working knowledge of FMLA and disability plans
  • Proficiency in HRIS platforms (Paycom preferred), benefits administration software, and Microsoft Office
  • Exceptional attention to detail with strong organizational and time‑management skills
  • Proven ability to maintain confidentiality and handle sensitive information with discretion
  • Ability to work independently and collaboratively within a team environment
  • Strong project management skills with the ability to meet deadlines and manage multiple priorities
  • Experience partnering with Human Resources teams to support employee benefit needs is preferred

Essential Functions

  • Ensure timely and accurate communication of benefits eligibility and required ACA notifications
  • Administer benefit plans including new‑hire enrollment, life‑event changes, and employment‑status updates affecting eligibility
  • Assist with annual open enrollment, including reconciliation of employee elections and troubleshooting enrollment issues
  • Reconcile and process benefit plan invoices, reports, and vendor communications; coordinate timely and accurate payment for all benefit programs
  • Partner with Payroll to ensure accurate and timely setup of all premium deductions
  • Prepare benefits data analytics, including usage trends, cost analysis, and ROI reporting
  • Process employer responses for disability and life insurance claims
  • Administer FMLA, including tracking, communication, and collection of insurance premiums during leave
  • Ensure ongoing compliance with federal and state laws and company policies related to HIPAA, DOL, ERISA, IRS, and ACA
  • Evaluate and enhance internal processes to improve efficiency and reduce costs
  • Provide technical support to end users and troubleshoot system issues related to benefits
  • Manage interface files to and from vendors to ensure accuracy of employee benefit records; research and correct discrepancy files
  • Build productive relationships with employees, HR partners, and external vendors
  • Compile and submit annual EEOC reporting requirements
  • Prepare special reports, records, and documentation as needed
  • Serve as liaison between employees and health plan providers to resolve benefit‑related questions or concerns

Continuing Education

  • Attend continuing education programs as necessary to maintain current knowledge of benefit regulations and best practices.
