Position Summary: This position supports the administration of JMT's leave of absence and employee benefits programs, with primary responsibility for coordinating leave cases, workers' compensation lost-time claims, and day-to-day benefits processes. The role works closely with employees, managers, Human Resources, payroll, benefits partners, and external vendors to ensure timely, accurate, and compliant administration in accordance with applicable federal, state, and local laws, company policies, and plan requirements. This position requires strong attention to detail, sound judgment, confidentiality, and a customer-focused approach while providing responsive, clear, and professional support to employee owners and internal and external partners.
Compensation for this position is $60,000 - $85,000, commensurate with experience, education and certifications. The provided range is a good faith estimate based on the requirements described within the job description. Essential Functions and Responsibilities
Administration of Leave Programs (80%):
Coordinate and administer employee leave of absence cases, including FMLA, ADA accommodations, disability, military leave, workers' compensation lost-time claims, and other company-provided leave programs.
Establish and maintain leave requests in PulpStream, track required documentation, and determine eligibility in accordance with applicable laws, regulations, and company policies.
Serve as a subject matter resource for employees, managers, HR, payroll, benefits, and third-party partners regarding leave processes, requirements, timelines, and status updates.
Maintain accurate, confidential leave records and ensure compliance with HIPAA, ADA, employee privacy, and related confidentiality requirements.
Meet regularly with the Benefits Manager to review case status, identify issues, and support timely resolution of complex or escalated leave matters.
Research new or changing leave-related regulations and summarize potential impacts, recommendations, and process improvements.
Coordinate medical documentation and return-to-work information while ensuring sensitive information is handled appropriately and securely.
Assist with the development and improvement of leave workflows, employee and manager communications, training materials, and best-practice recommendations.
Prepare and maintain leave reporting, metrics, and analytics to support case management, compliance, and program oversight.
Perform other related duties as assigned.
Administration of Benefits Programs (20%):
Administer employee benefits transactions, including new hire enrollments, qualifying life event changes, terminations, and other updates, ensuring accurate and timely processing in payroll and benefits systems.
Serve as a primary point of contact for employee owners regarding benefits and leave-related questions, providing clear, responsive, and employee-focused support.
Educate employees on available benefit programs, plan provisions, enrollment requirements, and available resources through individual support, presentations, and open enrollment communications.
Support annual open enrollment activities, wellness initiatives, and benefits one-on-one meetings, including preparation, employee communication, and follow-up.
Collaborate with insurance carriers, payroll, internal HR teams, and external partners to resolve issues related to enrollment, eligibility, payroll deductions, claims, billing, and plan administration.
Review and process insurance carrier billing, reconciling discrepancies and coordinating corrections as needed.
Maintain accurate benefits records and support audits, reporting, and compliance-related requests as needed.
