JOB RESPONSIBILITIES:

Employee Support & Communication

  • Serve as a primary contact for employee benefit questions, including medical, dental, vision, retirement, voluntary benefits, and leaves of absence.
  • Assist employees with benefit enrollment, life events, and issue resolution with carriers and vendors.
  • Support benefits communication efforts by assisting in the preparation, distributing materials and answering follow‑up questions.

Benefits Administration

  • Process benefit enrollments, changes, and terminations in ADP and vendor systems.
  • Ensure accurate transmission of data to carriers and third‑party administrators.
  • Perform regular audits of enrollment data, payroll deductions, and vendor files.
  • Maintain benefits records, documentation, and employee files in accordance with company policies.
  • Assist with new hire onboarding and conduct benefits orientation meetings.

Compliance & Leave Administration Support

  • Administer leaves of absence in accordance with FMLA, ADA, state, and company policies.
  • Track leave usage, documentation, and return‑to‑work status.
  • Monitor COBRA administration and employee notifications.
  • Support ACA compliance activities, including data collection and 1095‑C preparation.
  • Assist HR with accommodation requests and compliance documentation.
  • Post and distribute the required benefits related documents.

Open Enrollment & Vendor Coordination

  • Support the annual North America open enrollment process, including systems setup, employee communications, enrollment tracking and open enrollment meetings.
  • Coordinate with brokers and vendors to resolve enrollment or billing issues.

Financial & Reporting Support

  • Review, reconcile and request payment for benefit invoices.
  • Assist with funding and reconciliation of HSA, FSA, and commuter benefits.
  • Support preparation of census data, audits, and regulatory reporting.
  • Process premium payments for employees on leave, as needed.

Wellness & Program Support

  • Coordinate wellness initiatives and benefit‑related programs.
  • Coordinate benefits education efforts throughout the year.
  • Participate in benefits‑related projects and process improvements as assigned.

CANDIDATE REQUIREMENTS:

  • Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent experience.
  • 3–5 years of experience in benefits administration.
  • Working knowledge of employee benefits programs and related regulations (ERISA, HIPAA, ACA, FMLA).
  • Experience administering multi-state leaves of absence.
  • Strong attention to detail and organizational skills.
  • Excellent customer service and communication skills.
  • Ability to manage multiple tasks and deadlines.
  • Ability to handle confidential information with discretion.
  • Experience supporting Canada benefits a plus.
  • Bilingual (English/Spanish) required.
  • Experience with ADP Workforce Now or similar HRIS.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
