If yes, then bring your talent and skills to F.E. Moran Mechanical Services! We have an exciting opportunity in our Northbrook office for an Operations Support Specialist to join our team. As an Operations Support Specialist, you will support the Building Automation Swim Lane by providing cross-functional support to Operations, Sales, and Leadership through project coordination, customer service, document management, reporting, and process improvement initiatives that enhance operational effectiveness. You Are:

  • COMMUNICATION: Excellent verbal and written communication skills are essential to work closely with team members, managers and effectively manage problems as they occur.
  • LEADERSHIP: As the primary point of contact for team members, coordinators must be able to provide guidance, feedback, and encouragement for achieving goals.
  • ORGANIZATION AND TIME MANAGEMENT: Managing the daily activities and needs of the entire team and possess the ability to multitask and effectively manage the time.
  • PROBLEM SOLVING: Although project managers may step in to handle significant problems, you are required to work through and resolve minor issues without assistance.

What You'll Do:

  • Scheduling and coordination of BAS Team.
  • Support Sales Team.
  • Attend and assist with Daily Service Coordination Meeting.
  • Contract review of Bid Packets.
  • Provide project support including proposals and estimates, WIP and job status, and financial reporting.
  • Collections, expense tracking and reporting and Bloom Growth Coordination and Support.
  • Billing, A/R, A/P Support.
  • Work on Month End Reporting and Financial Reporting for Operations.
  • Assisting and supporting the Project Manager.
  • Manage and help drive the change order log - Creation and Submission.
  • Understand and assist in driving the project schedule.
  • Provide weekly detailed updates to the project managers.
  • Manage supplies and resources for the field to ensure the tasks are completed in a timely manner within the project schedule.
  • Manage sub-contractors - Create PO's and schedule.
  • Plan and attend meetings, assisting in the organization of projects.
  • Order the necessary equipment and material for the project.
  • Oversee deadlines and workflow.
  • Identify ways to increase profitability and reduce costs - set % completion markers.
  • Review contract scope/terms & conditions to ensure we are fully aware of the risk and expectations.
  • Schedule turnover meetings - Review logistics and who's accountable for what for execution of project - sales to follow the process.
  • Participate in the Contract/Estimating Review Process.
  • Create and Implement a Close Out Process.
