Our client, a multi-state law firm, is seeking remote and hybrid Bankruptcy Intake and Setup Specialists to join their growing team.
This role performs structured intake work under attorney supervision, applying the appropriate practice packchecklists, timers, and tagsso production teams can move quickly without rework. Accuracy, consistency, and disciplined documentation are central to success in this role.
Job Requirements:
- Pull new referrals from approved sources, acknowledge within the defined SLA by source (portal/email), build the matter, post the initial deadlines/milestones, and route to the correct production queue.
- Index and name documents to firm standards; request missing items early based on the minimum document checklist in the chosen practice pack.
- Verify jurisdiction/venue (court/division/judge when applicable) and confirm party and property data before handoff.
- Perform duplicate checks using the firms search keys (borrower, loan number, address, case/matter ID); record the result.
- Apply standard naming and tagging (Practice, State, Client, Source, andwhen usedCluster) to enable routing, reporting, and audits.
- Add initial task owners and internal draft due reminders tied to posted deadlines/milestones.
- Leave clear intake notes listing what is present, what is missing, risk flags/special conditions (e.g., sale or mediation dates, bar dates, appeal posture), and any client instructions.
- UNK triage: use a temporary UNK code only to collect basics, then convert to a real case type before handoff with a brief reason and resolution note.
- Follow firm privacy and data handling practices when saving statements, loan histories, title reports, dockets, or other sensitive documents.
Qualifications:- High attention to detail; consistent data entry, naming, and tagging.
- Comfortable with checklists and queue work; meets daily throughput/accuracy targets.
- Basic familiarity with legal documents and dockets and financial/transactional documents.
- Strong PDF and Microsoft Office/Google Workspace skills.
- Clear written notes; timely escalation; dependable time management; strict confidentiality.
- Prior intake/triage experience in a law firm, loan servicer, or high volume shared services team preferred
- Experience with client portals and multi jurisdiction routing; exposure to CaseAware (or similar) preferred.
- Comfort switching practice packs (Bankruptcy, Foreclosure, Evictions, Litigation, Property/Post Sale, Demand & Civil) preferred.
- Bilingual (e.g., Spanish) and strong address/property normalization (helpful for Puerto Rico and title heavy matters) preferred
- 12+ years in operations, legal assistant, or intake/triage roles (internship/practicum considered).
- Demonstrated success in queue based work with measurable throughput and accuracy.
