Adelante Community Development (ACD) is seeking a bilingual Program Assistant to support the Community Affairs Department. This position provides general administrative, clerical, and project coordination support to the Director of Community Affairs. The ideal candidate is highly organized, detail-oriented, proactive, and passionate about community empowerment, especially in serving Spanish-speaking entrepreneurs and families. This is a dynamic role that offers opportunities for skill-building while supporting culturally responsive programs that promote equity and well-being in underserved communities.
Key Responsibilities:
- Administrative & Office Support:
- Coordinate and maintain the Director's calendar, appointments, and meeting logistics.
- Prepare, edit, and distribute documents including reports, presentations, agendas, and meeting minutes.
- Maintain organized digital and physical filing systems to ensure accessibility and confidentiality.
- Track inventory and order office and program supplies as needed.
- Support coordination and logistics for events, workshops, and community initiatives.
- Community Engagement & Communication
- Serve as a liaison between the Director and community stakeholders.
- Respond to emails, calls, and messages professionally and promptly.
- Build positive relationships with community partners, program participants, and volunteers.
- Assist with follow-up communication to clients and partners, including reminders, updates, and resource sharing.
- Data Management & Reporting
- Enter and update participant and program data in spreadsheets, Airtable, or similar platforms.
- Assist in collecting and organizing feedback, surveys, and documentation for reports and grant submissions.
- Help prepare data summaries, visuals, and brief reports for internal and external use.
- Event Coordination & Participation
- Support planning and coordination of community events, workshops, and public engagements.
- Assist with event logistics such as securing venues, coordinating materials, and managing guest lists.
- Attend events to assist with setup, registration, and on-site coordination.
- Help gather feedback from attendees to inform future programming.
- Contribute to post-event reports and documentation, including photos, stories, and outcomes.
- Project Coordination & Resource Development
- Assist in the development of templates, guides, and simple instruction manuals.
- Document workflows using step-by-step tools (such as annotated screenshots).
- Help ensure resources, checklists, and tools are easy to access and user-friendly.
Required Skills & Qualifications
- High school diploma or equivalent. (Additional experience may substitute for formal education.)
- Minimum of 1 year of administrative or assistant experience.
- Fluency in Spanish and English (written and verbal) is required.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Familiarity with digital tools such as Airtable, Canva, Adobe Suite, and other common platforms.
- Strong interpersonal skills, cultural humility, and ability to work with diverse populations.
- Exceptional attention to detail, accountability, and organizational skills.
- Willingness to work flexible hours, including evenings and occasional weekends.
- Reliable transportation, valid driver's license, and ability to lift up to 30 lbs.

- Experience working in or with Spanish-speaking or immigrant communities.
- Willingness to learn new digital tools and systems with provided training.

Work Environment:

- Occasional travel for events or meetings within the community.
