Description
The Nevada-based Banking Coordinator supports Treasury Services by managing daily banking operations, client account administration, online banking access, statements, Positive Pay, electronic transfers, and investment/reserve fund support for community association clients. This role serves as a liaison between internal teams, FirstService Financial / Financial Analysis, banking partners, and leadership to ensure requests are completed accurately, timely, and in accordance with company procedures, board direction, and risk controls.
Your Responsibilities:
- Review, process, and respond to assigned Treasury requests through CRM/ticketing systems, shared inboxes, trackers, and approved request channels.
- Support opening, funding, closing, and maintenance of bank accounts for management clients, including signer changes and account updates.
- Prepare, review, and track banking documents containing confidential client and account information, including board approvals, resolutions, signer documentation, and bank forms.
- Coordinate with banking partners and internal teams to facilitate account openings, fundings, closures, service changes, and issue resolution.
- Assist with online banking access setup, updates, removals, entitlement reviews, and approved board member view-only access requests.
- Support Check Positive Pay and ACH Positive Pay setup, maintenance, exception research, and issue resolution.
- Process and/or coordinate electronic transfers, including ACH, wires, internal transfers, reserve transfers, and funding requests in accordance with required approvals.
- Support investment and reserve fund requests, including reserve transfers, money market accounts, certificates of deposit, investment account documentation, account funding, and FDIC coverage-related follow-up.
- Coordinate with FirstService Financial / Financial Analysis on investment requests, fund movement, account reviews, and documentation needs.
- Retrieve, organize, and save bank statements and account documentation to support reconciliation, audit requests, and month-end requirements.
- Maintain and update Excel, SharePoint, Smartsheet, Zendesk, and other trackers/databases for reporting, follow-up, and audit-ready documentation.
- Monitor daily banking activity, research discrepancies, and escalate risk items, unauthorized activity, missing approvals, or process exceptions to management.
- Assist Treasury leaders with SOPs, process improvements, account cleanup, portal consolidation, entitlement reviews, and special projects.
- Participate in additional treasury functions as assigned.
- High school diploma or equivalent required; associate or bachelor’s degree in Finance, Accounting, Business Administration, or a related field preferred.
- 1-3 years of relevant experience in treasury, banking, finance, operations, HOA/community management, or a multi-entity/shared services environment preferred.
- Strong attention to detail, organization, follow-through, and ability to manage multiple priorities in a fast-paced environment.
- Effective written and verbal communication skills, with the ability to interact professionally with internal teams, bank partners, and leadership.
- Proficiency in Microsoft Excel, Outlook, Word, and other Office applications; experience with DocuSign, SharePoint, Smartsheet, and Zendesk is preferred.
- Familiarity with banking platforms and treasury functions such as account management, signature authority, online access, ACH, wires, internal transfers, and cash management is preferred.
- Familiarity with Check Positive Pay, ACH Positive Pay, bank statements, account documentation, and access entitlement processes preferred.
- Familiarity with reserve accounts, money market accounts, certificates of deposit, investment documentation, FDIC coverage considerations, and fund transfer processes preferred.
- Ability to handle confidential financial and client account information with discretion and follow established controls.
- Self-motivated and proactive, with a collaborative mindset and a commitment to continuous improvement.
Compensation: $24 / hour
