Automotive Title Clerk – Job Description

Position Overview

The Automotive Title Clerk is responsible for processing all vehicle titles, registrations, and related documentation for new and used vehicles. This role ensures compliance with state and federal regulations, maintains accurate records, and provides support to the sales and finance departments. The ideal candidate is detail oriented, organized, and experienced with dealership operations and DMV requirements.

 

Key Responsibilities

Title & Registration Processing

  • Prepare and submit all new and used vehicle title applications, including transfers, duplicates, and corrections.
  • Process DMV paperwork for retail and lease transactions.
  • Process paperwork for wholesale and dealer trade transactions.
  • Verify accuracy of all title documents, purchase agreements, and lien information.
  • Ensure timely submission of title work to meet state compliance deadlines.

Record keeping & Compliance

  • Maintain electronic and physical title files in accordance with dealership and state guidelines.
  • Track and reconcile title statuses to ensure all paperwork is complete.
  • Maintain compliance with state/Federal regulations (DMV, lienholder requirements, privacy rules).
  • Follow up on missing or incorrect documents from customers, banks, or internal departments.

Coordination & Communication

  • Work closely with sales, finance, and accounting teams to collect needed documentation.
  • Communicate with customers, banks, and DMV offices regarding title needs or discrepancies.
  • Provide status updates on titles and resolve issues professionally and promptly.

 Administrative Duties

  • Handle inventory title audits and assist with floor plan records when needed.
  • Assist with reporting, filing, and other administrative tasks as assigned.

 

Qualifications

  • Previous dealership or DMV title processing experience preferred.
  • Knowledge of state vehicle titling laws and registration procedures.
  • Strong attention to detail and accuracy.
  • Excellent organizational, communication, and time management skills.
  • Proficient with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, etc.).
  • Ability to work in a fast-paced environment and manage multiple deadlines.

 

Physical & Work Requirements

  • Ability to sit, stand, and use a computer for extended periods.
  • Work primarily performed in an office environment.

 

Typical Schedule

  • Full Time, Monday–Friday (some dealerships may require occasional Saturdays).
