Responsibilities
Manage all P-Card receipts and Purchase Order invoices for Operations / Player Development / Equipment and Travel. Properly track and report all spending in Concur in conjunction with the Business Office to have expenses and invoices processed in a timely manner. Maintain independent Budget tracking system to compare to Business Office Financial Dashboard for Football Expenditures. Manage Travel for the Head Coach. Manage all travel, appointments, and calendar for Head Coach.
Administrative support for Head Coach, Senior Associate AD / Chief of Staff, Associate Head Coach and Special Teams Coord. Manage front desk staff (2) and operational guidelines for visitors. Administer front desk duty for lunch coverage / vacations / mail duties. Oversee (4) student work force - Provide Assistance with Operations and Player Development. Create student job description and training. Collection of candidates credentials and resumes. Submittal of forms for background checks. Itineraries for in person interviews. Coordinate travel logistics for candidates and new hires. Secure housing for candidates and new hires. Formulation of new employee check list and onboarding manual. Assistant in new hires onboarding - Payroll / IT / Phones / Keys / Codes / Parking / ID Cards
Coordinate all Office Supply Orders for Departments - Creation of Purchase Orders. Supplies - Monitor and replace as needed in Mail Room. Stationary and business card supplies Supplies - Reconcile billing of supply orders for submittal to Business Office .Maintain relationship with vendors for outside services - Contact for service and supplies. Shredding - Notify shredding company when pick-up is needed. Process all Purchase Orders and Invoice to the Business Office
Coordinate coffee, water, snacks and supplies in the football breakroom . Manage all Procurement for Administration - Creation of purchase orders and submittal of invoices for all Administrative Functions
Qualifications
Bachelors degree and four years experience or a combination of post high school education and experience equal to eight years.
