Position Summary

The Athletics/Activities Director is responsible for the leadership, coordination, supervision, and evaluation of all interscholastic athletic and co-curricular programs for students in grades 6-12. This position may be shared between the Randolph and Cambria-Friesland School Districts. This position ensures that athletic and co-curricular programs align with district mission, values, and character traits while emphasizing student personal growth, skill development, physical fitness, socialization, sportsmanship, and healthy competition.

The Athletics/Activities Director serves as a key liaison among students, staff, families, community members, and external organizations, and works collaboratively with district administrators to provide safe, equitable, and well-organized programs that enhance the overall educational experience.

Essential Functions and Responsibilities

Program Leadership and Administration

  • Administer, coordinate, and evaluate all interscholastic athletic and co-curricular programs for grades 6-12.

  • Promote positive school and community relations by keeping the public informed and engaged with high school and middle school athletic and activity programs.

  • Foster smooth and collaborative relationships among Randolph and Cambria-Friesland districts, coaching staffs, activity advisors, recreation departments, the WIAA, Trailways Conference, booster clubs, youth sport organizations, and other external partners.

  • Serve as, or designate, the tournament manager for WIAA tournaments hosted by the district(s).

  • Maintain accurate records of athletic contest results, award winners, and student participation in all activities.

Scheduling, Events, and Facilities

  • Arrange schedules for all high school and middle school athletic contests, including securing and assigning game officials.

  • Coordinate event workers, medical coverage, and athletic training services for student-athletes.

  • Arrange event logistics including field preparation, facility readiness, locker rooms, pre-game and halftime ceremonies, printed programs, ticket sales, and complimentary admissions.

  • Schedule the use of all physical facilities related to the interscholastic athletic program and coordinate closely with recreation departments to ensure appropriate scheduling and use of school district facilities.

  • Work collaboratively with the Facilities Manager to ensure facilities are safe, prepared, and well-maintained.

Athletic Governance, Eligibility, and Compliance

  • Serve as the primary liaison for athletics and activities with the Wisconsin Interscholastic Athletic Association (WIAA) and the Trailways Conference to ensure compliance with all rules, regulations, reporting requirements, and deadlines.

  • Represent the districts at WIAA and conference meetings and communicate rule changes, interpretations, and expectations to coaches, advisors, administrators, students, and families.

  • Develop, implement, and annually review a comprehensive athletic code of conduct and eligibility guidelines aligned with WIAA, conference, and district policies.

  • Administer and enforce athletic eligibility, conduct, and disciplinary procedures in a fair, consistent, and educational manner.

  • Collaborate with principals and coaches to address eligibility concerns, violations, and appeals, ensuring due process and clear communication.

Budget, Finance, and Purchasing

  • Submit budget requests and purchase requisitions for athletic and middle school supplies and equipment, and assist with the development and oversight of co-curricular budgets.

Compliance, Safety, and Student Welfare

  • Assist principals in taking reasonable precautions to safeguard the health, safety, and general well-being of students and staff.

  • Assist with regular and thorough inspections of school properties and activity spaces.

  • Coordinate transportation for all high school and middle school athletic programs in collaboration with the district transportation coordinator.

  • Keep principals informed of any concerns or issues involving the rights or responsibilities of the schools or districts.

Co-Curricular Activities

  • Coordinate and support co-curricular programs, including music, forensics, academic teams, and other student activities, to promote continuous program improvement.

  • Assist with the supervision, scheduling, and coordination of co-curricular events, productions, and performances, including concerts, musicals, and dramas.

  • Foster positive school and community relations through high-quality co-curricular activities and events.

Digital Media and Marketing

  • Create and manage content for digital media, social media platforms, and the JumboTron to promote school events, athletic games, highlights, and upcoming activities.

  • Coordinate and supervise the release of information for the community regarding upcoming athletics and activities to ensure timely, accurate, and engaging communications.

  • Maintain and provide updates on the new BOUND platform being implemented this year.

  • Collaborate with staff and departments to maintain consistent branding and messaging across all digital and online platforms.

Administrative Support

  • Assist principals in maintaining school records and preparing required reports.

  • Support district administration in ensuring alignment of activities with district goals and expectations.

Supervisory Responsibilities

The Athletics/Activities Director provides leadership, supervision, and coordination for:

  • Athletics/Activities Director, administrative assistant(s).

  • High school and middle school coaches and activity advisors.

  • Event workers for interscholastic athletic and co-curricular activities, including coordination and hiring responsibilities.

Additional Responsibilities May Include

  • Supervise and schedule the weight room, including hiring monitors or a potential Strength and Conditioning Coach.

  • Supervise, create, manage, and teach a semester-long Coaching and Officiating class offered at both high schools.
