Position Summary The Associate Registrar, Curriculum & Systems plays a critical role in advancing institutional effectiveness through the design, integrity, and optimization of Whitworth Universitys academic systems and data. Serving as a functional expert for the Colleague Student Information System, this position ensures that degree audits, curriculum structures, and academic records accurately reflect university policies and support clear pathways to graduation.
This role partners closely with faculty, academic leadership, and cross-functional teams to implement curriculum changes, maintain academic rules, and deliver high-quality data and reporting that inform decision-making across the institution. With a strong focus on accuracy, compliance, and continuous improvement, in this role you will help translate complex academic requirements into reliable systems that serve students, advisors, and the broader Whitworth community.
Core Responsibilities
Academic Systems & Degree Audit Management | 35%
Design, maintain, and optimize degree audit rules in Colleague SIS to ensure accurate alignment with academic policies, curricula, and program requirements.
Translate curriculum and catalog changes into system configurations, partnering with faculty and academic leadership to implement new programs and updates.
Build and manage course data and academic rules, ensuring consistency across current and historical curriculum structures, including Shared Curriculum requirements.
Test, validate, and continuously improve degree audits to support accurate advising and timely graduation certification.
Serve as a Courseleaf CAT and CIM administrator, providing system oversight, user training, and support for annual catalog production.
Student Information System Administration | 20%
Serve as a functional expert for Colleague and Self Service, supporting system configuration, maintenance, and enhancements.
Manage academic structures, term setup, program data, and student records to ensure system integrity and usability.
Monitor system processes, identify issues, and implement solutions that support efficient academic operations.
Reporting, Data Integrity & Compliance | 20%
Develop and deliver standard and ad hoc reports using Colleague, Informer, and related tools to support institutional decision-making.
Analyze student and academic program data to inform enrollment, retention, and completion strategies.
Ensure accuracy, consistency, and compliance of academic data in alignment with institutional policies and federal regulations.
Manage federal enrollment reporting (e.g., National Student Clearinghouse, NSLDS), ensuring timely and accurate submissions.
Safeguard student data in compliance with Family Educational Rights and Privacy Act and institutional standards.
Support accreditation, audit, and regulatory reporting processes.
Collaboration, Training & Continuous Improvement | 20%
Partner with the Office of the University Registrar, Institutional Research, IT, and academic leadership to support evolving business needs.
Provide training, documentation, and user support for degree audits, SIS functionality, and reporting tools.
Identify and implement process improvements that enhance data quality, system efficiency, and user experience.
Participate in system upgrades, testing, and advisory groups to support ongoing system performance and innovation.
Institutional Service & Other Responsibilities | 5%
Contribute as a member of the Office of the University Registrar leadership team.
Serve on institutional committees and data governance groups as needed.
Perform other duties as assigned in support of departmental and university priorities.
