Overview
This role is ideal for an emerging project management professional eager to gain high-speed deployment experience in a demanding, high-profile corporate environment.
Responsibilities
1. Project Support & Coordination
-Tactical Execution: Assist the SPM in managing defined sub-projects, workstreams, and deliverables within the overall site launch schedule.
-Scheduling and Tracking: Maintain detailed project schedules, tracking key milestones, deadlines, and dependencies across multiple active sites.
-Resource Logistics: Coordinate the timely procurement and deployment of necessary resources, including new personnel, initial equipment (e.g., cleaning machines, tools), and initial stock materials.
-Meeting Management: Organize and lead internal status update meetings, documenting project decisions, action items, and ensuring timely follow-up from team members.
2. Documentation and Reporting
-Process Documentation: Own the creation and maintenance of standardized project documentation, including scope summaries, risk registers, lessons learned, and vendor agreements.
-Reporting Assistance: Prepare accurate, up-to-date reports on budget vs. actuals and schedule status for review by the SPM prior to executive presentation.
-Change Control: Manage the administrative process for scope change requests, ensuring documentation is complete and approved by the SPM before implementation.
3. Stakeholder Interface
-Internal Communication: Act as a key liaison between the SPM and ABM's functional support teams (e.g., Procurement, HR, Safety) to expedite onboarding and setup processes.
-On-Site Coordination: Assist with coordination during the physical site startup phase, ensuring smooth transitions between construction/handover and the start of ABM operations.
-Vendor Management: Support the SPM in managing vendor performance and delivery schedules for smaller, defined contracts.
Qualifications
-Strong proficiency in Microsoft Excel and project scheduling software (e.g., MS Project, SmartSheet, or similar tools).
-Excellent organizational skills and meticulous attention to detail.
-Proven ability to multitask and manage competing priorities in a deadline-driven setting.
-Excellent written and verbal communication skills; ability to interact professionally with all levels of staff.
-Willingness to travel up to 30% to new expansion sites, primarily for physical setup and transition support.
