The Assistant to the Division Dean will be responsible for managing effective

systems and protocols. The individual will serve as a point person in assisting a

Division Dean in carrying out goals and priorities for an academic division. As

needed and directed by the Division Dean, this position may provide support to

Department Coordinators and faculty in their division.

Required Qualifications

  • High school diploma or equivalent.
  • At least 5 to 7 years of administrative support experience.
  • Advanced level of skills in Microsoft Office.

Preferred Qualifications

  • Bachelor's degree preferred.
  • Certified Administrative Professional (CAP) is highly desired

Preferred Education/Experience

  • At least 5 to 7 years of administrative support experience

workload.

Essential Duties/Responsibilities

Essential Duties/Responsiblities

  • Provide Administrative Support to Division Dean. Perform daily administrative

duties for a Division Dean, including:

  • Addressing confidential and time-sensitive material.
  • Preparing routine and advanced correspondences (e.g., letters, memoranda,

and reports).

  • Planning and attending key meetings with internal and external stakeholders.
  • Making travel arrangements.
  • Function as First Point of Contact for Division Dean. Represent a Division

Dean to faculty, staff, students, administrators, and external partners with

professionalism, tact, and confidence, while maintaining a high level of

confidentiality.

  • Organize Events and Meetings. Organize and coordinate individual/group

meeting events such as internal and external meetings, conference calls, and

conferences for a Division Dean and other participants as needed.

  • Communicate Division Programs and Procedures. Work closely with the

Division Dean to convey a comprehensive understanding of the division's

programs and procedures.

  • Organize Information and Workflows. Optimize workflow management by

meeting deadlines and preventing work delays. Organize briefing materials

and action items by preparing documents for a Division Dean and those

outside of the division as needed.

  • Anticipate and Respond Proactively to Issues. Address potential problem

areas for a Division Dean in advance, including working across functions to

ensure appropriate individuals or offices/departments are involved in

necessary decisions and discussions.

  • Collaborate with Department Coordinators. Work with Department

Coordinators within the division on shared administrative tasks and systems,

including scheduling, document storage, and other tasks that benefit the

division and its departments.

  • Assist in Managing Division Budgets and Administrative Processes. Support a

Division Dean in compiling, updating, organizing, and analyzing complex

information for reports, budget projects, and presentations.

  • Facilitate Community for Division Faculty, Staff, and Students. Coordinate

division functions, celebrations/recognitions, and gatherings that enhance a

sense of community among faculty, staff, and students.

  • Other Duties. Perform other related duties and special projects as assigned or

directed by a Division Dean.
