Position Summary

Salary Placement and Work Hours: This is a 12-month, full-time position. Placement will be on the E3 Salary Schedule with a range of $39,759 - $62,710, dependent on verifiable and applicable work experience and education. Placement is determined by the President and Alabama Community College System Board of Trustees Policy and salary schedule guidelines. The work week is Monday through Friday. Hours worked will be a minimum of 40 per week.

Essential Duties and Responsibilities

Essential Function: The primary function of this position is to provide administrative, technical, and project support for institutional planning, assessment, institutional effectiveness, compliance, and reporting activities; coordinate office operations and related initiatives; and ensure adherence to all applicable policies and procedures of the Alabama Community College System Board of Trustees, the Alabama Community College System, and Northeast Alabama Community College.

Duties and Responsibilities:

Institutional Effectiveness, Planning, and Assessment Support

  • Assist with the coordination, collection, organization, and documentation of institutional effectiveness, assessment, strategic planning, and program review activities.
  • Coordinate institutional effectiveness initiatives by monitoring project timelines, communicating with stakeholders, tracking deliverables, and maintaining supporting documentation.
  • Coordinate the administration, tracking, analysis, and reporting of institutional surveys and evaluations used to support institutional effectiveness, strategic planning, accreditation, and continuous improvement initiatives.
  • Assist with the preparation, collection, organization, and maintenance of accreditation, compliance, institutional effectiveness, and state and federal reporting documentation.
  • Assist faculty, staff, and student organizations with survey projects as needed.
  • Coordinate the annual review of Student Consumer Information and maintain the NACC Student Consumer Information website in accordance with federal requirements.

Curriculum Support

  • Serve as secretary to the Curriculum Committee, including coordinating meetings, preparing agendas and minutes, maintaining committee records, tracking curriculum actions, and communicating with stakeholders regarding curriculum proposals and approvals.
  • Assist with the administration of the Colleges curriculum management and catalog systems, including Clean Catalog, by maintaining curriculum records, processing approved curriculum changes, supporting catalog publication, and ensuring the accuracy of curriculum-related information.

Data, Reporting, and Publications Support

  • Assist with the development, maintenance, and distribution of reports, dashboards, data extracts, and other information resources using Argos, Ellucian Insights, and other institutional reporting systems.
  • Compile, organize, verify, and distribute institutional data and information to support reporting, planning, assessment, accreditation, grant activities, and institutional decision-making.
  • Compile, edit, and proofread institutional research publications and reports.
  • Maintain and update institutional effectiveness, accreditation, consumer information, and departmental web resources to ensure accuracy, accessibility, and compliance.

Administrative and Operational Support

  • Provide administrative assistance to the Director.
  • Assist with coordinating meetings, including submitting activity requests, compiling agendas, and distributing announcements and related materials.
  • Perform general office duties, including answering telephone calls, assisting visitors, responding to correspondence, and disseminating information.
  • Serve as secretary, as assigned, to various standing committees.
  • Manage and maintain office records.
  • Prepare and maintain records of correspondence.
  • Prepare office purchase requisitions and maintain records of all purchases.

Other Responsibilities

  • Be willing to work occasional evenings and weekends as needed to meet project deadlines and institutional priorities.
  • Perform other duties as assigned by the President or supervisor.

Qualifications

Required knowledge, Skills and Abilities:

  • Ability to effectively utilize Microsoft Office applications, including Word, Excel, PowerPoint, and other software used to support institutional effectiveness, reporting, and office operations is required
  • Ability to learn, develop, maintain, and distribute reports, dashboards, data extracts, and queries using Argos, Ellucian Insights, and other institutional reporting systems.
  • Demonstrated ability to learn and effectively utilize new administrative, educational, research, and data management technologies.
  • Strong technology skills, including document preparation, records management, and electronic communication.
  • Ability to prepare, edit, proofread, and maintain accurate reports, correspondence, publications, and institutional documentation.
  • Ability to organize, maintain, and manage confidential records, files, databases, and supporting documentation related to institutional effectiveness, compliance, and office operations.
  • Ability to communicate effectively and professionally with students, faculty, staff, administrators, external agencies, and members of the public.

Sick Leave

All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Retirement

The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. Tuition Assistance

This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.
