Job Summary
The Assistant to the Dean provides general administrative assistance to the Dean of the College of Health Sciences and provides college advising and guidance to students.
Duties and Responsibilities
Administrative duties.
- Independently composes correspondence
- Complies data for reports and spreadsheets
- Processes student change of major forms, drop/add forms, degree sheets, appeals, and any other student-related forms. Assist students with university processes and procedures.
- Prepares graduation checkout material required by the Registrar's office.
- Serves as a liaison between the Dean/Associate Dean and faculty/staff.
- Summarizes content of incoming materials and gathered data. Briefs the Dean/Associate Dean on important issues or conflicts.
- Prepares materials needed for meetings, such as agendas, handouts, etc.
- Makes recommendations and implements procedures to improve operations to keep the office functioning smoothly.
- Prepares for the Dean/Associate Dean to meet with administration, faculty, staff, students, and ULM campus offices.
Advising.
- Evaluate course substitutions, overload requests, requests to take course(s) at another university, and catalog changes before sending them to the Associate Dean for approval.
- Place approved course substitutions into the DegreeWorks online advising program.
- Complete audits of student degree plans within the College of Health Sciences
- for students who have completed 90 or more hours toward their degree.
- Lift advising and other holds as needed in INB.
- Advise undergraduate students within the College of Health Sciences when faculty advisors are not on campus to do so.
- Evaluate transcripts for transfer students.
- Participate in advising of first-time freshman at PREP.
- Be available to students to discuss goals, degrees, and future plans.
- Inform college faculty of advising policies and issues.
- Membership on the University Advising Committee.
General/Other
- Oversees inventory & maintains records for all programs within the college.
- Performs other job duties and assumes other responsibilities as assigned.
Minimum Qualifications
- Bachelor's degree required; Master's preferred.
- Excellent communication and organization skills.
- Ability to work with Administration, students and other University personnel to complete multiple projects and tasks.
- Proficiency with common office software, such as Microsoft Office.
