Summary:

The Assistant Shop Service Manager plans, coordinates, and manages day-to-day maintenance shop operations to ensure cost-effective utilization of resources, efficient scheduling, and optimal workflow management. This hands-on leadership role supervises truck and trailer technicians in both shop and field settings while serving as a key contact for the on-the-road breakdown support desk. The Assistant Shop Service Manager drives process improvements, monitors work order accuracy and performance, and ensures compliance with safety regulations while supporting company initiatives and fleet maintenance excellence.

Responsibilities:

Lead Daily Operations

  • Plan, coordinate, and manage day-to-day maintenance shop activities to ensure seamless operations and minimal vehicle downtime
  • Optimize resource utilization to maximize efficiency and cost-effectiveness across all maintenance functions
  • Manage scheduling, workflow, and daily priorities across the shop to meet operational demands and service level expectations
  • Drive company initiatives and ensure alignment with organizational goals and fleet maintenance objectives
  • Coordinate with transportation, logistics, and operations teams to support business continuity

Manage & Develop Your Team

  • Supervise and support truck and trailer technicians in both shop and field settings to ensure quality repairs and timely service delivery
  • Provide guidance, coaching, and performance feedback to build a high-performing team and develop technical capabilities
  • Foster a culture of safety, quality, and continuous improvement throughout the maintenance organization
  • Conduct performance evaluations and implement development plans to enhance team skills and engagement
  • Manage staffing levels and coordinate coverage to meet operational needs across all shifts

Drive Process Improvement

  • Identify and recommend changes to fleet maintenance processes and procedures to enhance efficiency, reduce costs, and improve service quality
  • Monitor and review work orders for accuracy, performance, and efficiency using shop maintenance management systems
  • Leverage shop maintenance systems to track performance metrics and identify improvement opportunities
  • Implement best practices and standardize work processes to ensure consistency and quality
  • Lead continuous improvement initiatives to reduce repair times, minimize parts costs, and optimize preventive maintenance schedules

Provide Roadside Support

  • Serve as a key contact for the on-the-road breakdown support desk to assist drivers and technicians with emergency repairs
  • Answer technician and driver questions to resolve issues quickly and minimize vehicle downtime
  • Coordinate emergency repairs and dispatch field technicians to roadside locations as needed
  • Communicate with vendors, towing services, and repair facilities to arrange timely assistance
  • Maintain accurate records of breakdown incidents, response times, and resolution actions

Ensure Quality & Accountability

  • Review work orders and maintenance records for completeness, accuracy, and compliance with company standards
  • Monitor key performance metrics including repair cycle time, first-time fix rates, parts costs, and technician productivity to drive operational excellence
  • Maintain compliance with DOT regulations, OSHA safety standards, and company policies
  • Conduct quality inspections of completed repairs to ensure workmanship meets specifications
  • Manage warranty claims and vendor relationships to maximize parts warranty recovery

Budget & Inventory Management

  • Monitor maintenance budgets and control costs while maintaining service quality and fleet reliability
  • Manage parts inventory levels to ensure availability while minimizing carrying costs
  • Approve purchase orders and manage vendor relationships for parts, supplies, and contracted services
  • Analyze cost trends and identify opportunities for cost reduction without compromising quality or safety

Qualifications:

  • High school diploma or GED equivalent required
  • Minimum 3-5 years of proven experience in fleet maintenance management or shop supervision
  • Strong knowledge of truck and trailer systems, diagnostics, and repair procedures
  • Demonstrated supervisory or leadership experience managing technicians or maintenance teams
  • Excellent organizational and time management skills with ability to manage multiple priorities in a fast-paced environment
  • Strong communication and interpersonal abilities with customer service orientation
  • Proficiency with maintenance management systems and technology
  • Problem-solving mindset with focus on efficiency and cost control
  • Knowledge of DOT regulations and commercial vehicle compliance requirements
  • Valid drivers license required
  • Ability to work flexible hours including evenings, weekends, and on-call availability as needed
  • Physical ability to walk shop floors, perform vehicle inspections, and assist with diagnostic activities

Additional Qualifications, Preferred:

  • Associates degree or technical certification in Diesel Technology, Automotive Technology, or related field
  • ASE (Automotive Service Excellence) certifications in medium/heavy truck repair
  • Bachelors degree in Business Administration, Operations Management, or related field
  • 5+ years of fleet maintenance experience in transportation, logistics, or distribution environment
  • Experience with fleet maintenance software systems (Fleetio, Dossier, TMT, or similar platforms)
  • Lean or Six Sigma certification with process improvement experience
  • Knowledge of preventive maintenance programs and fleet asset management
  • Experience managing maintenance budgets and vendor contracts
  • Familiarity with telematics systems and predictive maintenance technologies

Work Environment:

This position operates in a combination of office and active maintenance shop environments. The shop environment includes exposure to moderate to high noise levels, temperature variations, diesel fumes, and maintenance equipment in operation. The role requires walking on shop floors, climbing into vehicle cabs and trailers, and working around heavy equipment. Personal protective equipment (PPE) such as safety glasses and steel-toed boots may be required. The position involves both office work and hands-on shop floor presence in a fast-paced, time-sensitive environment.

Pay:

$75,000 - $85,000 annually
