Position Summary

The Assistant Registrar of Enrollment & Records provides leadership and operational oversight for student records, registration, transfer credit evaluation, degree audit, and graduation processes. This position ensures compliance with institutional policies and regulatory requirements while supporting student progression from enrollment through credential completion. Working collaboratively with Enrollment Services, Academic Affairs, and campus partners, the Assistant Registrar promotes accurate, efficient, and student-centered practices across all areas of responsibility. This is a full-time, 12-month, benefit-eligible position.

Salary & Benefits:

  • Anticipated Hiring Range: $64,709 - $80,240/annual - depending on education and experience
  • Cafeteria Plan: In addition to the base compensation, benefits-eligible employees receive an extra $6,720 per year to put toward benefit costs or to be used as additional take-home pay
  • Paid Holidays: 21 (including a full week off between Christmas and New Year's Day and over Spring Break)
  • Vacation & Sick Leave: Approximately 17 paid vacation days & 9 paid sick leave days accrued annually

Essential Duties and Responsibilities

Registration & Compliance

  • Provide leadership and oversight of the day-to-day registration functions to ensure compliance with federal, state, and institutional regulations.
  • Interpret, enforce, and provide guidance on admissions and enrollment college policies and procedures, serving as a primary resource for complex or escalated cases.
  • Coordinate registration timelines, communications, and systems alignment.
  • Review and approve exceptions to petitions and appeals related to residency, concurrent enrollment, academic standing, and credit overload.
  • Monitor regulatory changes and recommend updates to policies, procedures, and operational practices to the Registrar.
  • Ensure institutional compliance with the Family Educational Rights and Privacy Act (FERPA), providing guidance and training to staff.
  • Support critical academic operations, including start-of-term processing, academic catalogs, grade roll procedures, and state reporting requirements such as FTSE.

Transfer Credit & Academic Record Integrity

  • Provide leadership and guidance of transfer credit evaluation processes to ensure accuracy, consistency, and alignment with approved institutional and state policies.
  • Oversee standards for the evaluation and application of transfer coursework, prior learning, military credit, and professional licensure.
  • Oversee the maintenance and integrity of transfer equivalency rules within the Banner Student Information System, ensuring timely updates aligned with curriculum changes approved by Academic Affairs.
  • Oversee and supervise the Transfer Evaluation System (TES), including training, access management, and workflow oversight for faculty, deans, and staff.
  • Serve as the escalation point for complex or disputed transfer evaluations, ensuring consistent application of procedure.
  • Monitor reverse transfer processes and coordinate with external partners, including Northern Arizona University, to support degree completion initiatives.
  • Facilitate communication between Academic Affairs and Enrollment Services to ensure accurate implementation of approved transfer equivalencies and curriculum decisions.

Degree Audit, Graduation & Credentialing

  • Oversee degree audit processes within DegreeWorks to ensure accurate tracking of student progress from admission through credential completion.
  • Ensure consistent review and approval of course substitutions and waivers in alignment with institutional, state, and federal guidelines.
  • Supervise graduation certification processes, ensuring timely and accurate awarding of degrees and certificates within Banner.
  • Monitor and validate graduation and commencement data using reporting tools (e.g., ARGOS) to support institutional reporting and decision-making.
  • Provide leadership and coordination for commencement operations, including graduate eligibility verification and final program accuracy.
  • Oversee diploma production and distribution processes to ensure accuracy and timely delivery to students.
  • Maintain, develop and update Admissions and Enrollment forms; create online and PDF forms in collaboration with web services; update website.

Process Improvement & Operational Support

  • Ensure online and print materials accurately reflect current policies and procedures.
  • Identify and implement process improvements to enhance efficiency, reduce errors, and improve the student experience.

Systems & Data Management

  • Develop and maintain reports on enrollment and student records.
  • Utilize data and reporting tools to monitor operational performance and inform decision-making.
  • Assist with implementation of new technologies.
  • Ensure data accuracy and consistency across systems.

Leadership & Institutional Support

  • Supervise and develop staff, ensuring consistent training, application of policies, procedures, and service standards.
  • Serve as a key liaison between Enrollment Services and Academic Affairs to support alignment of curriculum implementation within Banner and student record processes.
  • Provide training and guidance to faculty, advisors, and staff on academic policies, transfer credit, and graduation requirements.
  • Serve as a designee for the Registrar and/or Dean of Enrollment & Student Financial Services, providing leadership continuity when needed.
  • Perform other duties and special projects as assigned.

Knowledge, Skills and Abilities

Knowledge of concepts and principles of educational programming and administration; systems development; principles and practices of supervision, training, and personnel management. Skill with computer software such as Microsoft Office, SharePoint or other web-page design software, and integrated administrative software systems. Skill in managing multiple projects and prioritizing workload and in program development and evaluation. Ability to travel, and to learn College organization standards and related policies and procedures. Skills in effective business and interpersonal communication. Ability to work collegially in a diverse college environment.

Minimum Qualifications

Bachelor's Degree and 4 years' experience, or equivalent, in area of assignment; or any equivalent combination of education and experience sufficient to successfully perform the essential duties of the job and/or as approved by the Human Resources department.

Preferred

Master's in Education, Business, or related field. Two years of direct experience working at a college in related area of assignment. Familiarity using computer technology.
