Primary Purpose of the Organizational Unit

In support of the mission of UNC Greensboro, the University Registrars Office fosters student success and cultivates exemplary student experiences for all University constituents related to academic records, policies, and regulations.

Position Summary

The Assistant Registrar for Operations and Student Services plays a central role in maintaining academic records and delivering support to the University Registrars Office. Reporting to the Senior Assistant Registrar, this position supervises a team of both full time and part time staff and is dedicated to providing an exceptional experience for students, faculty, and staff ensuring the highest quality of services and support.

Minimum Qualifications

  • Relevant post-Baccalaureate degree required; for candidates demonstrating comparable independent educational or instructional activities associated with the delivery and/or management of student support functions, will accept a relevant undergraduate degree and relevant experience in substitution.

Additional Required Certifications, Licensures, and Certificates Preferred Qualifications

  • Masters degree from an accredited college or university and three years of experience in a registrars office.
  • Demonstrated expertise working with student and academic records, including student records privacy (FERPA) policy and procedures.
  • Demonstrated ability to work effectively with and foster collaboration among a wide range of individuals and constituencies in a large, complex academic environment.
  • Familiarity with issues that influence higher education and/or the profession.
  • Passion for enhancing the student and faculty experience.
  • Attention to detail and commitment to maintaining high standards in recordkeeping and service delivery.
  • Adaptability and willingness to embrace new technologies and procedures to improve efficiency and effectiveness.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
  • Excellent verbal and written communication skills.
  • Demonstrated commitment to providing outstanding customer service.
  • Ability to explain processes and procedures with clarity and accuracy.
  • Capacity to work both independently and as part of a collaborative team.
  • Knowledge of student information systems or applications such as: Ellucian Banner, National Student Clearinghouse, Leepfrog CourseLeaf, and Degree Audit and experience in a decentralized University preferred.

Front Desk and Clearance Operations

Essential Tasks

  • Oversees all aspects of the degree conferral process, ensuring timely and accurate certification of student graduations.
  • Serves as the primary front desk staff manager which provides direct support and information to students, faculty, and visitors. Ensures consistent coverage of all front desk responsibilities.
  • Oversees and coaches direct reports in the University Registrars Office and assists with setting the direction for the Degree Clearance and Front Desk staff.
  • Manages the creation and maintenance of the master production calendars for each awarding cycle and any associated documentation for dissemination in collaboration with the Associate Registrar for Policy and Operations.
  • Oversee all aspects of the development, maintenance, and alignment of Banner data to ensure accurate academic records.

  • Set performance expectations, monitor progress, and offer constructive feedback to team members to promote accountability and high standards.
  • Develop and implement training programs to enhance staff competencies in customer service, records management, and degree clearance procedures.
  • Serve as a resource and mentor for team members, addressing questions, resolving conflicts, and facilitating problem-solving.
  • Coordinate workflow and prioritize tasks to ensure timely and accurate completion of front desk operations and degree clearance processes.
  • Lead regular team meetings to discuss updates, address challenges, and celebrate achievements.
  • Evaluate processes and recommend improvements to streamline operations and enhance service quality.
