Assistant Project Specialist

Contract-to-Hire Opportunity | Vancouver, WA

Our client is seeking an Assistant Project Specialist to support the successful execution of engineering and construction-related projects throughout the project lifecycle. This role works closely with project managers, clients, vendors, subcontractors, and internal stakeholders to coordinate project activities, maintain project documentation, track deliverables, and support financial and scheduling functions. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Coordinate and communicate regularly with project teams, client representatives, vendors, suppliers, and subcontractors regarding project development and execution.
  • Assist with identifying, tracking, monitoring, and analyzing project milestones, deliverables, action items, and project progress using internal software systems.
  • Support the preparation and presentation of monthly project status reports and progress updates.
  • Plan, coordinate, and facilitate both on-site and off-site project meetings.
  • Review and process invoices, trip tickets, and expense reports for accuracy and compliance with project requirements.
  • Assist with project data entry activities, including change orders, cost report updates, and project documentation management.
  • Support accounts payable processes, including coding, approval routing, and payment tracking within accounting systems.
  • Enter and maintain project scheduling information and assist project teams with schedule updates.
  • Monitor submittal logs and Requests for Information (RFIs) within construction management software and help facilitate timely responses.
  • Assist with reviewing pre-mobilization safety documentation and maintaining project compliance records.
  • Help develop, update, and distribute site-specific emergency action plans in collaboration with project leadership and field personnel.
  • Create and maintain projects within construction management software and support daily reporting and workflow management.
  • Coordinate training requirements and maintain training records for project personnel to ensure compliance with project and corporate requirements.
  • Update standard operating procedures (SOPs) and assist with training and mentoring new employees and contingent workers on project best practices.
  • Research and resolve project-related questions while providing timely and accurate information to stakeholders.

Required Qualifications

  • Bachelor's degree in Business, Accounting, Communications, Construction Management, or a related field; OR
  • Associate degree with a minimum of two (2) years of related experience; OR
  • High School Diploma/GED with a minimum of four (4) years of related experience.
  • Strong proficiency with Microsoft Word, Excel, PowerPoint, Adobe Acrobat, and/or Bluebeam.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to communicate effectively with all levels of an organization.
  • Demonstrated attention to detail and follow-through on assignments.

Preferred Qualifications

  • Minimum GPA of 3.0.
  • Involvement in campus, professional, or community organizations.
  • Experience with project cost management systems.
  • Familiarity with SharePoint, Microsoft Teams, and customer relationship management (CRM) software.
  • Previous experience supporting engineering, construction, or project management teams.
