Assistant Project Specialist

Job Type: Contract-to-Hire

Our client is seeking an Assistant Project Specialist to support the successful execution of engineering and construction projects throughout the project lifecycle. This position interfaces with internal and external project leadership to help ensure project milestones, deliverables, communications, documentation, budgets, and schedules are effectively managed.

The Assistant Project Specialist will support Project Managers and project teams by organizing and driving team deliverables, maintaining project documentation, coordinating communications, assisting with project reporting, and implementing detailed processes that bring consistency and efficiency to project execution. This role will proactively communicate with project team members, client representatives, subconsultants, subcontractors, and other project stakeholders.

Responsibilities

  • Provide general administrative and project coordination support for engineering and construction projects.
  • Organize and maintain project files, filing systems, project records, and project communications.
  • Assist with project data entry, including project contact lists, project execution plans, project schedules, change orders, budget reports, specifications, deliverables, and other client or project requirements.
  • Assist with identifying, entering, monitoring, and analyzing key project needs, deliverables, and milestones using internal project management software.
  • Support the preparation and presentation of regular project progress reports, including action items and progress updates.
  • Monitor submittal logs and Requests for Information (RFIs) in construction management software and assist with expediting responses from the internal design team.
  • Update record copies, engineering project documentation, and project changes.
  • Research project-related information and provide support in responding to project questions.
  • Record meeting minutes and track action items from Project Manager and project team meetings.
  • Prepare and format memos, correspondence, reports, presentations, and other project documents.
  • Coordinate travel arrangements and other internal services required to support project needs.
  • Review bills, invoices, trip tickets, and expense reports for accuracy and compliance with project requirements and process items in a timely manner.
  • Assist with coordinating client meetings and presentations, both virtual and in person.
  • Reserve conference rooms and coordinate client, vendor, and supplier presentations, meetings, and interviews, including meeting setup and cleanup.
  • Communicate regularly with project team members, client representatives, subconsultants, subcontractors, and other project stakeholders regarding project delivery and execution.
  • Perform other duties as assigned.
  • Comply with all company policies, procedures, and standards.

Qualifications

  • High School Diploma or GED required.
  • Applicable professional experience may be substituted for education requirements.
  • Previous office, administrative, project coordination, or clerical experience preferred.
  • Proficiency in Microsoft Word, Excel, and PowerPoint required.
  • Knowledge of Bluebeam Revu and Bluebeam Studio applications preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced project environment.
  • Strong written and verbal communication skills.
  • Ability to work effectively with internal teams, clients, subcontractors, vendors, and other project stakeholders.
  • Experience supporting engineering, construction, or other project-based environments is a plus.
