If you’ve ever seen “Antiques Roadshow”, this is similar to what we do. We set up boutique “buying events” at various hotel locations throughout the region, where folks come to sell us their estate items - primarily gold, silver, coins, and watches.
Position Summary
The Assistant Manager, Travel Operations is responsible for overseeing the execution of all travel accommodations for buyers, including flights, hotels, and rental cars, while supporting and managing the team responsible for day-to-day booking activity.
This role ensures that all travel is booked accurately, on time, and in alignment with company guidelines, with a strong emphasis on preventing errors, eliminating last-minute scrambling, and maintaining operational stability at scale.
The Assistant Manager serves as the bridge between leadership direction and operational execution—ensuring the travel function runs smoothly, the team stays organized and accountable, and all travel needs are executed proactively rather than reactively.
Key Responsibilities
- Support and oversee the Travel Operations team responsible for booking and managing travel
- Ensure accurate and timely booking of all flights, hotels, and rental cars for buyers
- Review travel arrangements to identify and correct issues such as missing bookings, incorrect details, or inefficient routing
- Monitor upcoming travel to ensure bookings are completed well in advance
- Handle escalations related to travel changes, cancellations, and urgent booking needs
- Coordinate closely with Buyer Scheduling, District Managers, and leadership to align travel with operational schedules
- Enforce structure around travel request intake, approvals, and communication processes
- Maintain visibility into upcoming travel volume and ensure the team is operating proactively
- Identify recurring issues and support process improvements to increase efficiency and reduce errors
- Ensure consistent adherence to travel policies and internal guidelines
- Support additional operational and administrative needs as required
Qualifications
- Experience in travel coordination, logistics, or operations support
- Prior supervisory, lead, or assistant manager experience strongly preferred
- Strong attention to detail and ability to manage high-volume workflows
- Ability to stay organized and composed in a fast-paced, deadline-driven environment
- Strong problem-solving skills, particularly with last-minute changes or escalations
- Excellent communication skills across multiple teams and stakeholders
- Experience with travel booking platforms (Navan or similar) preferred
- Strong proficiency in Excel or Google Sheets preferred
