MTA Bridges and Tunnels operates the largest bridge and tunnel network in New York City, managing nine crossings that include seven bridges and two tunnels. Telework:

This position is eligible for telework which is currently one day per week. New hires are eligible to apply 30 days after their effective date of hire.

Job Summary:

The Assistant Manager, Program Operations serves as a key operational and project coordination lead reporting under the Chief of Staff/Chief Administrative Officer in the planning, coordination, and execution of agency specific events, executive-level reporting deliverables, B&T employee engagement initiatives, and committee and board publications. This position independently manages cross-functional workflows and recurring operational processes to support departmental and agency priorities, ensuring alignment, accuracy, consistency, and timely completion of deliverables. Responsibilities include coordinating recurring reporting cycles, tracking executive submissions, managing timelines and stakeholder follow-up, compiling and validating materials from multiple departments, and supporting the execution of internal events and agency-wide initiatives. The role also supports operational messaging, informational materials, and multimedia resources related to agency-specific initiatives and events in alignment with organizational goals. This position requires strong organizational, writing, and interpersonal skills, sound judgment, and the ability to manage multiple concurrent priorities in a fast-paced environment. The ideal candidate is highly detail-oriented, proactive, and capable of independently coordinating complex workflows across multiple stakeholders, including senior leadership, while ensuring high-quality operational support, reporting accuracy, and event execution.

Responsibilities:

Project Coordination & Executive Reporting Support

This function supports cross-functional operational coordination and executive-level reporting workflows, including Board Committee materials, KPI reporting, and structured agency-wide updates requiring input from multiple departments.

  • Independently managing the tracking, coordination, and status monitoring of recurring reporting deliverables and executive submissions
  • Coordinating across departments to collect, validate, organize, and compile narrative and data inputs
  • Reviewing materials for completeness, accuracy, formatting consistency, and adherence to established reporting standards
  • Monitoring reporting timelines, identifying risks or delays, and proactively following up with stakeholders to ensure the timely completion
  • Supporting continuity and organization across multiple concurrent reporting cycles and operational workstreams
  • Maintaining tracking systems, schedules, and reporting logs to support workflow visibility and accountability

Event Planning, Execution & Program Support

This function supports operational initiatives through the preparation and coordination of multimedia, visual, and digital materials used for agency-specific events, B &T employee engagement activities, and informational updates. Collaborates and liaises with corporate internal and external communications as needed to ensure consistency in materials and messaging.

Responsibilities include:

  • Preparing, editing, and coordinating presentations, informational materials, graphics, digital assets, and event support materials for agency specific initiatives and activities
  • Supporting the development and distribution of internal informational materials, announcements, engagement resources, and public awareness materials
  • Capturing and organizing photography and video content during agency specific events and operational activities for internal and external use
  • Coordinating updates and materials across internal platforms, digital signage, engagement channels, and public-facing platforms as directed
  • Collaborating with departments to gather, organize, consolidate, and format information for agency materials and initiatives
  • Reviewing materials to ensure consistency, accuracy, accessibility, and alignment with agency standards and branding requirements
  • Assisting with basic multimedia editing, formatting, and production support for presentations and informational materials
  • Supporting B &T employee engagement and workforce awareness initiatives through coordinated materials, event support, and informational resources

Internal Engagement & Informational Materials Support

This function supports B &T employee engagement initiatives and agency informational efforts through the coordination, preparation, and distribution of internal and external materials. Collaborate and liaise with corporate internal and external communications as needed to ensure consistency in materials and messaging.

Responsibilities include:

  • Supporting coordination of materials related to B &T agency specific initiatives, events, and public awareness efforts
  • Collaborating with departments to gather, organize, and consolidate information for distribution across appropriate channels
  • Reviewing materials to ensure consistency, accuracy, and alignment with agency standards and messaging objectives
  • Supporting engagement initiatives designed to enhance workforce awareness, participation, and organizational alignment

Stakeholder Coordination:

This function serves as a central administrative and operational coordination role supporting multiple departments, stakeholders, and concurrent workstreams to ensure timely completion of agency initiatives and deliverables.

Responsibilities include:

  • Coordinating deliverables, timelines, and follow-up activities across internal departments and external stakeholders
  • Tracking workflow progress across reporting cycles, events, operational initiatives, and content-related projects
  • Monitoring outstanding action items and proactively following up to ensure timely completion of tasks and deliverables
  • Supporting alignment and scheduling across operational priorities, events, reporting deadlines, and engagement activities
  • Maintaining organized workflow systems, documentation, and tracking tools to support continuity, prioritization, and accountability across multiple projects and initiatives
  • Complies with all policies and standards
  • May be required to work hours outside regular work hours, as applicable
  • Observes the work performed by contractors, as applicable
  • Reviews and approves contractor invoices, as applicable, in accordance with contractual requirements.
  • Addresses performance issues with the contractor when possible, as applicable
  • Escalates issues to other parties when needed, as applicable
  • Performs other duties as assigned

Qualifications:

  • Bachelor's Degree in Arts/Sciences (BA/BS) Bachelor's degree preferred in Public Administration, Public Policy, Communications, Business Administration, Management, Technology, Digital Media, Planning or a related field.
  • Additional years of experience may be considered in lieu of education.
  • Minimum 5 years of experience in program coordination, administrative operations, executive support, project management, or similar cross-functional coordination roles
  • Minimum 3 years of experience in graphic design, multimedia production, or related fields, with proficiency in Adobe Creative Suite (e.g., Photoshop, InDesign, Illustrator, After Effects, Premiere Pro) or similar tools used to develop, produce, and edit visual and multimedia materials in support of organizational initiatives
  • Strong organizational/coordination skills and demonstrated ability in meeting deadlines
  • Ability to work independently and/or simultaneously on multiple projects
  • Strong writing, editing, and content development skills
  • Ability to research, interpret and clearly present finding for decision making
  • Ability to communicate effectively both orally and in writing with various departments and levels of Management
