    Summary



    The Assistant Director Proposals helps manage assignments, workflows, and related RFP tasks within the proposal team. They supervise a team of Proposal Managers to ensure they meet all new business objectives while simultaneously supporting higher level proposals and internal initiatives.


    The Assistant Director Proposals works closely with our Legal team to ensure alignment and continuity across proposal contracts, and also assists with proposal budgeting and reporting, marketing capabilities and supporting proposal assets, and internal presentations related to new business efforts as needed.


    This position will support our Proposals team under our Growth (Sales) group. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show site 2-3 days per week. The ideal candidate will be based out of any of the following locations:

    • Dallas, TX

    • Orlando, FL


    Essential Duties & Responsibilities



    + Oversees team of Proposal Project Managers & Contract Managers including all project assignments, related support, and training / onboarding of new hires

    + Manages RFP pipeline, processes and workflows, and provides guidance as needed to ensure proposals are completed efficiently and accurately

    + Manages creative scoping and resourcing needs to align proper team assignments for incoming projects and proposals

    + Works closely with Legal on all contract requirements and initiatives to ensure proper compliance with client proposals and Freeman business practices

    + Helps with monthly tracking and reporting of RFPs and all respective data from Salesforce and Workfront

    + Works closely with Marketing and Creative teams on any Growth and proposal related assets

    + Supports additional new business initiatives and cross-functional collaboration between internal teams in support of RFPs as needed

    + Helps maintain internal team page on company SharePoint (Proposal Toolbox) and all related assets that support our Freeman teams

    + Maintains highly confidential or sensitive information and files, correspondence, and records as required

    + Utilizes the following systems: Salesforce, Microsoft Office Suite & Teams, Adobe Acrobat and Workfront, Google Drive, Box and other supporting platforms

    + Performs other duties as assigned


    Education & Experience



    + 7+ years’ experience in a creative agency, event marketing environment, or administrative sales in applicable areas of business development, strategic planning, and operations

    + Bachelor’s degree preferred, High School Diploma or Equivalent with relevant work experience required

    + Exceptional verbal and written communication skills with the ability to confidently lead, influence, and drive projects to completion

    + Works well under pressure with excellent attention to detail, problem solving and organizational skills to meet deadlines and manage multiple projects simultaneously

    + Resourceful and critical thinker who is comfortable working with varying levels of authority and / or personalities

    + Positive attitude, strong work ethic, and a passion for managing teams and projects successfully, on time and on budget

    + Strong understanding of various creative disciplines and the ability to articulate design objectives for project and talent alignment on proposals

    + Proficient knowledge of all Microsoft Office Software applications required

    + Knowledge of Salesforce (SFDC) and Workfront preferred

    + Understanding of Freeman suite of services or tradeshow work experience preferred

    + Experience working with Adobe Design Suite and layout/print production preferable


    Travel Requirements



    Travel up to 25%
