Job Summary
The Assistant Director of One Stop Enrollment Center works side by side with management by providing support, leadership and direction to assigned staff. This role is responsible for the development of customer service training programs and student outreach. In addition, this role assists staff in the planning, development, coordination and delivery of customer service operations regarding inquiries for financial aid, undergraduate admissions and registration and records, over the phone, in person and via email, ensuring that staff provides students with efficient and customer-friendly service. This position will also coordinate the One-Stop Student Advisory Committee; manage all aspects of student employee hiring and supervising processes.
Core Responsibilities
- Develops a customer service curriculum and employee guide.
- Utilizes available data and reports to assess and provide corrective training to staff for all customer service concerns.
- Coordinates and helps deliver new hire training and evaluation of training curriculum.
- Manages the day-to-day operations of the One-Stop Enrollment Center including the locations at Main and Downtown Campus, phone center, appointments and email accounts and assist Director as needed.
- Acts as backup to help ensure proper coverage for student service, meeting standards for response turnaround times, updating the community about changes to schedules and ensuring quality service delivery.
- Responsible for supervision of full-time, part-time, temporary and student staff members. This includes ensuring staff are trained, hiring, disciplinary action, performance evaluations and one-on-one conversations and meetings.
- Responsible for monitoring and updating technologies associated with One-Stop to include, phone message recording announcing closures, QLess queuing system, survey administration, phone system operation (call recording, service level), yearly update of customer service evaluation and new technologies the One-Stop may implement.
- Responsible for staying informed and knowledgeable of updates in the areas of financial aid, undergraduate admissions, and registration and records, paying particular attention to Federal, State, System and Institution policies and regulations. This includes a general knowledge of other offices we interact with such as academic advising and student affairs departments.
- Responsible for problem-solving, counseling, advising and providing information to students on financial aid and scholarships, undergraduate admissions policies, and registration and records; counseling students on policies and procedures (phones, counter, Skype, email).
- Assists in the development, implementation and maintenance of policies and procedures for assigned areas of responsibility.
- Acts as backup for the processing of student financial aid/scholarship paperwork, admissions paperwork and registrar paperwork as needed.
- Assists with risk management monitoring plan to ensure operating and supervisory controls are in place and completed.
- Assists with strategic planning efforts for the One-Stop Enrollment Center.
- Performs other duties as assigned.
Required Qualifications
- Bachelors Degree in a related field.
- Five (5) years of related work experience.
- This position may require the ability to maintain the security and integrity of UT San Antonio and its infrastructure per Texas EO-GA-48.

Working Conditions

- Ability to exert up to 10 pounds of force to lift, carry, push, pull or otherwise move objects.
This position will work primarily on campus. Travel and parking expenses are the employee's responsibility.
