Position Summary

Big Bend Community College (BBCC), a rural college serving vibrant, culturally rich communities in the Columbia Basin of Central Washington invites applications for a Assistant Director of the Big Bend Community College (BBCC) Foundation.

The Assistant Director of the BBCC Foundation is responsible for the daily oversight and management of the Big Bend Community College Foundation. Under the direction of the Executive Director of the BBCC Foundation, this position is responsible to produce and monitor the annual budget, coordinate activities with college departments, manage workflow and special project, and ensure critical processes and services are maintained and delivered. The Assistant Director provides primary support to the BBCC Foundation Board and serves as a liaison between the BBCC Foundation Board, the Executive Director and the campus community. This position is responsible for carrying out coordinated, best-practice-driven fundraising and alumni and donor relations, as well as the planning and implementation of programs, projects, and events to strategically engage constituents with the ongoing annual philanthropy.

The position reports to the Executive Director of the BBCC Foundation and acts as the director in their absence. This position works closely with the BBCC Foundation Board of Directors, the President and leadership of the college, the college community, and members of the service district.

Essential Job Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Primary essential duties and responsibilities include but will not be limited to the following:

  • Manage the daily operations and workflow processes for the Big Bend Community College (BBCC) Foundation Office to include to policies, procedures, budgets, contracts, purchasing, special events, and calendar development.
  • Maintain financial and donor records and reports of the foundation, providing monthly, quarterly, and annual reporting. Process incoming donations, make deposits, reconcile accounts, and generate donor letters and tax receipt forms. Provide coverage for accountant duties, i.e., process invoices, submit journal entries, and generate monthly financial statements.
  • Manage database donor records and ensure the donor database is accurate. Enter donor records, generate pledge reminders and ensure correspondence with donors and volunteers is timely and cultivates and stewards strong relationships with donors and friends.
  • Research, develop, revise, and manage all foundation and Board of Director policies and procedures ensuring current and up-to-date guidance and regulation.
  • Research and gather financial and quantitative data on spending patterns to compile future needs requests from various staff members for budget development. Build cost estimates for staff, equipment, and supplies. Exercise assigned expenditure control and budget status. Maintain credit card custodian duties for the foundation and other staff.
  • Serve as the first point of contact for information regarding the BBCC Foundation. Welcome visitors, donors, and volunteers; respond to requests for information either in-person or by phone. Ensure accurate follow-through and follow-up of donor recognition and record management.
  • Develop, coordinate, and assist with the production of communications and publications adhering to industry standards, formats, and effective methods. Manage email and internet accounts, social media, and manage webpages ensuring accurate content. Work collaboratively with the foundation team regarding content and design based on vision, mission, guiding principles, and goals.
  • Build relationships and establish connections with the college community, students, faculty, community members, other educational organizations, and state and federal agencies.
  • Collaborate with the Executive Director and the Board of Directors to establish strategic direction, including short- and long-range planning addressing shared vision, mission, message, leadership, and sustainability; initiate year-end internal evaluation including financial and program performance.
  • Develop components of major philanthropic fundraising campaigns, programs, and events. Work closely with the Executive Director and foundation team to plan and organize initiatives, programs, and events to establish and cultivate relationships with donors, students and family, alumni, faculty, staff, and others within the college's service district.
  • Work closely with the Executive Director, foundation team, and the college's PIO to develop publications and other essential foundation materials and public relations and marketing campaigns for fundraising and support. Supervise and monitor program activities and performance.
  • Provide confidential support to the BBCC Foundation Board of Directors for business management, board meetings, associated committee meetings, and activities. Develop and seek input for and distribute agendas and supporting materials, prepare meeting spaces, and take accurate and timely minutes and records. Draft documents as requested, manage files, and coordinate activities and information for all board activities.
  • May supervise and direct the work of assigned staff, students, and volunteers to ensure established priorities and deadlines are met. Activities include, but are not limited to, scheduling, training, performance reviews, recruitment, and communication following the college's established workplace norms and guiding principles.
  • Compose correspondence, produce monthly, quarterly, and annual reports, acknowledgment, confidential and sensitive materials, and sign correspondence as appropriate. Create metrics, dashboards, and other performance management indicators monitoring key performance objectives and their effectiveness for the foundation and Board of Director business through the use of technology and quantitative data.
  • Prepare background information of the Executive Director's professional commitments; manage calendars and establish priorities; make travel arrangements and prepare travel documents, coordinate arrangements for meetings at the destination.
  • Perform complex tasks on word processing, graphics, statistical spreadsheets, PowerPoint presentations, and database work. Understand, apply, and remain current with computer technology applications and software.
  • Interpret and apply internal administrative policies consistent with goals, objectives, and policies of the foundation and the college.
  • Ensure the maintenance of current and archived files on all foundation and Board of Director business, including historical files, mailing lists of donors, and other support persons, businesses, and agencies.
  • May provide support to the BBCC Board of Trustees in the absence of the Executive Assistant to the President.
  • Serve on college and CTC commissions, councils, committees, and workgroups. Participate in related professional conferences and in-service activities.

OTHER WORK RESPONSIBILITIES:

  • Maintain professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensure no injuries to self or others by following safe work practices and policies. This includes, but is not limited to, security and safety, understanding of SDS, equipment, infection control, fire, disaster, safe lifting and body mechanics.
  • Ensure compliance with college policies and procedures and state and federal regulations.
  • Work and interact effectively with colleagues, staff, students, administrators and others of various cultural and socio-economic backgrounds.
  • Perform other related duties and responsibilities as may be required.

Minimum & Desirable Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelors degree in Business Administration or a related field from a regionally accredited institution; or Associate degree in Business Administration or a related field from a regionally accredited institution and two (2) years of professional office experience; or Four (4) years of professional office experience.

  • Three (3) years of related work experience in accounting, marketing, or administration.

  • Experience using QuickBooks, word processing, spreadsheet, database, publishing, presentation, and webpage software in a professional setting to complete work responsibilities.

  • Experience working with social media platforms and effective marketing techniques.

DESIRABLE QUALIFICATIONS:

  • Knowledge of tax laws governing recording and acknowledging of contributions.
  • Knowledge of financial processing, accounting, and reporting techniques.
  • Previous experience working with an appointed or elected board.
  • Experience using fundraising software.
  • Higher education work experience, preferably in a community college setting.
  • Bilingual English/Spanish proficiency.
