Position Details

General Statement

This position supports a high-impact, multi-year advising program serving approximately 1,300 students annually who are preparing for health profession programs. The assistant director provides individualized and group coaching to help students build competitive applications, including academic preparation, clinical experience, and professional development.

In addition to direct student support, this role supervises a team of approximately 20 peer advisors and mentors, contributes to program operations, and partners with the Director and student success coordinator to support application processes, data tracking, and program evaluation. This is a fully in-person position that requires strong technology skills to effectively support students using online application systems and virtual advising tools.

Duties and Responsibilities

Student Advising & Coaching

  • Provide individualized coaching to undergraduate, post-baccalaureate, and graduate students pursuing health professions, helping them strengthen academic, clinical, and extracurricular experiences.
  • Guide students through the full application process, including personal statements, application strategy, and interview preparation.
  • Facilitate workshops, group advising sessions, and programming related to entrance exams, application preparation, and professional development.

Supervision & Mentorship

  • Supervise, train, and support a team of approximately 20 peer advisors and mentors, including onboarding, scheduling, and performance feedback.
  • Oversee peer advising operations, ensuring accurate scheduling, documentation, and consistent student support.
  • Foster a collaborative, supportive team environment focused on student success.

Program Operations & Administration

  • Partner with the Director to manage the multi-year health professions application process, including essay review, mock interviews, and committee letter processes.
  • Maintain accurate student records and advising notes using systems such as Degreeworks, Banner, and Canvas.
  • Support data collection, tracking, and reporting efforts for annual reports and accreditation reviews.
  • Maintain and update program websites, application materials, and internal student resources.
  • Assist with outreach and recruitment efforts, including prospective student events, orientations, and information sessions.
  • Collaborate with campus partners, faculty, and health professionals to support programming and student success.

Required Qualifications - Experience, Education, Knowledge & Skills

  • Bachelor's degree and at least 2 years of experience in student advising, coaching, mentoring, career development, or student services.
  • Strong written and verbal communication skills, including the ability to provide clear, constructive, and actionable feedback.
  • Demonstrated ability to manage multiple priorities and a high-volume workload.
  • Experience working both independently and collaboratively in a team environment.
  • Availability to work occasional evenings and weekends as needed.

Preferred Qualifications - Experience, Education, Knowledge & Skills

  • Master's or doctoral degree in a health profession, healthcare administration, or science-related field.
  • Experience supporting students applying to health profession programs (e.g., medical, dental, PA, etc.).
  • Prior supervisory or team leadership experience.
  • Familiarity with student information systems (e.g., Banner), learning management systems (e.g., Canvas), and Microsoft Office tools.

  • Communicate clearly and effectively, including providing candid, constructive, and actionable feedback on application readiness.
  • Demonstrate strong organizational and time-management skills while managing a high-volume advising load and multiple competing priorities.
  • Train, motivate, and support a team of peer advisors and mentors, fostering a collaborative and student-centered environment.
  • Navigate and use technology effectively, including student information systems (e.g., Banner), learning management systems (e.g., Canvas), Microsoft Office tools, and online application platforms.
  • Support students in both in-person and virtual settings, including helping them navigate online systems and participate in remote advising interactions.
  • Adapt to a fully in-person work environment with occasional evening and weekend responsibilities.
  • Approach challenges with sound judgment, professionalism, and the ability to have candid and productive conversations.
  • Demonstrate a commitment to continuous learning, professional development, and ongoing improvement.
