JOB SUMMARY

Position is responsible for assisting in the oversight and administration of athletic department operations, including student-athlete eligibility, facility scheduling for practices and competitions, and management of game day operations. Provides leadership for the Director of Game Day Operations & Media and associated event staff. Serves as a liaison between the athletic department, campus partners, and external vendors to support successful athletic events and departmental initiatives. Assists with compliance, operational planning, and implementation of athletic programs and services that support the mission of the university and the success of student-athletes.

ESSENTIAL FUNCTIONS OF THE JOB (provide list of items which are essential to effective outcomes in this role):

  • Provides general support to the Director of Athletics regarding NAIA and conference compliance, including monitoring eligibility requirements, roster management, and documentation.
  • Coordinate with the Registrar, Financial Aid, and Admissions offices to support student-athlete eligibility and certification processes.
  • Participate in the planning and implementation of athletic events, tournaments, and special campus athletic events.
  • Assist in the development and oversight of athletic department policies and procedures to ensure alignment with university and conference guidelines.
  • Collaborate with coaching staff to coordinate facility usage, practice schedules, and competition logistics.
  • Provide leadership to assigned athletic department staff, including the Director of Game Day Operations & Media and any GA's and/or student workers assigned to game day operations or media responsibilities.
  • Serve as a primary point of contact for visiting teams, officials, and event personnel to ensure smooth event execution.
  • Assist with budget monitoring and purchasing related to athletic operations, including equipment and game day needs.
  • Work collaboratively with sports information, marketing, and communications to promote athletic events and enhance the game day experience.
  • Support student-athlete success initiatives, including coordination with academic support services and student development programs.
  • Assist in the management of risk, safety protocols, and emergency procedures during athletic events and facility use.
  • Represent the athletic department on campus committees or at conference meetings when appropriate.
  • Contribute to strategic planning efforts that support the growth and success of Ottawa University Athletics.
  • Assist with hiring, training, and scheduling of student workers and event staff for athletic competitions.

REQUIRED EDUCATION: (education based on essential job duties and requirements consistent with business necessity):

Bachelor's degree in an appropriate field of study, master's degree preferred.

Prior experience working within an athletic department in areas such as athletic operations, event management, compliance, or program administration is essential..

  • Commitment to supporting the operational mission of the athletics department, including game day operations and departmental initiatives. Ability to collaborate effectively across departments and contribute to special events, campus initiatives, conference or NAIA championship events, and other activities that support the overall success of the athletics program.
