Job Responsibilities

Reporting to the Assistant Dean/Director of Residence Life, the Assistant Director for Assignments and Administration oversees housing assignments and meal plans and manages related administrative operations, activities and technology.

Oversees housing assignments and meal plans:

  • Makes room assignments and changes for new and returning students.
  • Signs contracts/leases; develops contract/lease addendums; manages contract/lease cancellations; processes proration/repayment processes; maintains waiting lists; counsels parents and students regarding problems; and addresses special housing populations needs.
  • Makes meal plan assignments and changes for all on-campus students.
  • Coordinates summer housing assignments and meal plans.
  • Oversees the reconciliation of board bills from the dining services contractor.
  • Manages room assignments during emergencies in which students must be temporarily relocated.
  • Works during move-in and move-out each semester to ensure assignments and check-outs are processed efficiently.

Provides support for related administrative functions, activities and staff:

  • Manages day-to-day operations for the Department of Residence Life office.
  • Administers and makes recommendations concerning Residence Life policies and procedures; consults with the Director of Residence Life concerning policy exceptions.
  • Develops departmental marketing and retention materials.
  • Trains the department's full-time Administrative Specialist and student assistants.
  • Meets with students desiring a room change.
  • Manages hall access during university breaks and the end of each semester.
  • Creates and administers late stay and early arrival lists.

Administers the Residence Life information systems:

  • Makes recommendations and writes computer reports as needed to meet housing needs.
  • Maintains up-to-date rosters, assignments and statistical records for various weekly reports.
  • Maintains manual back-up systems for all housing records.
  • Trains staff on assignments software.
  • Serves as liaison to housing software company to ensure updates proceed as scheduled and issues/problems are reported and corrected in a timely manner.
  • Recommends content and uses for the department's social media platforms in support of effective management of housing assignment processes.

Minimum and Additional Requirements

  • Bachelor's degree in college student affairs, business or related field.
  • Two years of relevant experience.
  • Knowledge of residence life operations, including general policies and procedures.
  • Effective oral and written communication skills.
  • Exceptional organizational skills and the ability to successfully manage multiple concurrent tasks and activities.
  • Ability to establish and maintain effective working relationships with administrators, staff, students, faculty, co-workers and the general public.
  • Ability to deal with sensitive and confidential information/situations and exercise mature judgment, tact and flexibility in confronting and resolving difficult situations.
  • Ability to function effectively with minimal supervision.
  • Ability and willingness to work outside normal business hours as needed during move-in and move-out each semester and to facilitate housing relocations during emergency situations.

Preferred Qualifications

  • Master's degree in college student affairs or related field.
  • Experience working with housing management software.
