Assistant  Department Administrator - Stony Brook Orthopaedic Associates, UFPC  

Location: Stony Brook, NY

Schedule: Full Time

Days/Hours: Monday - Friday; 8:30 AM - 5 PM 

Salary Range: $112,424 - $132,532 (pay will be determined based on experience, preferred qualifications, and education)

Responsibilities:

SUMMARY: The Assistant Administrator will report to the Department Administrator.

The Assistant Administrator will assist Department Administrator in managing the administrative aspects of the department’s research, educational, personnel, strategic initiatives, and other business activities at all locations. Assist in Budgeting function, Financial Reporting and Planning, Accounts Payable, and other functions as required. The Assistant Administrator will be work in partnership with the Department Administrator.

 

Job Duties & Essential Functions:

  • Working closely with the Department Administrator, responsible to provide support in coordinating all Departmental business activities, including facilitates and IT management, policy and procedures development and implementation, human resource administration, strategic planning and implementation, as well as research activities.
  • Oversee the process and control of expense reimbursement (physician/staff), processing of invoices for vendor payment using Certify. Provide direction and guidance to department staff and faculty regarding purchasing policies and procedures.
  • Provide and work with Clinical Practice Management Plan data and Department Leadership on negotiating price with vendors and choosing preferred vendors.
  • Faculty/Physician recruitment: ensure all recruitment plans are active, responsible for oversight of all recruitment functions, coordinating with Medical Staff, Dean Office for faculty appointment, CPMP provider enrollment, Managed Care office for insurance participation. Assist Department Administrator in Development of Business Plan to support new faculty hires.
  • Work with Department Administrator as necessary with Memorandum of Understanding with Stony Brook Medicine’s other UFPCs and Stony Brook Community Medical.
  • Faculty/Physician Incentive Plan: Prepare necessary data for faculty bonuses for approval by Department Administrator and Chair.
  • Work with Department Administrator to provide oversight to MACRA/MIPS/ACO/CIN and CMS annual reporting.
  • Ensure all physician credentialing files are updated.
Qualifications:

Required Education & Qualifications:

  • Bachelor’s Degree in Business Administration, Healthcare Administration, Finance or related field.
  • Five (5) or more year’s full time, progressively responsible administrative experience and demonstrated leadership in management.
  • Previous experience with budgeting, financial analysis and modeling.
  • Ability to manage multiple projects and initiatives simultaneously.
  • Stony analytical, organizational, written and oral communication skills
  • Proficiency in with Microsoft Office Suite and strong background in Excel.

Preferred Qualifications:

  • Master’s Degree
  • Previous experience working in healthcare.
  • Demonstrated skill in establishing and maintaining effective working relationships with physicians, executive management and staff.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to communicate with patients, staff and medical providers. The employee must be able to exchange accurate information in these situations. This position is largely sedentary and requires the employee to remain stationary for a majority of the day. Any additional physical demands will be outlined and provided by management.
