The Assistant Center Manager supervises custodians and assists with administrative, managerial and risk management tasks of the health center and serves as backup in absence of the Center Manager.
- Requires an Associate's Degree or higher and a minimum of 1 year of experience in a medical or business office.
- Ability to establish and maintain positive and productive relationships with diverse groups of health professionals and other staff.

- Certification as an Interpreter is preferred and ability to provide bilingual patient care is a plus.
- Assist Center Manager with administrative, managerial, risk management and supervisory tasks that contribute to the Center functioning efficiently while supporting the organizations strategic goals.
- Train and onboard new employees and ensure they understand their roles and performance expectations.
- Supervise employees' day-to-day performance and access quality of work.
- Provide recognition/ reward for progress and feedback for improvement.
- Responsible for completing appraisals, competencies and checklists.
- Provide regular feedback to employees, both positive and constructive, and support and help them with career advancement.

- Address performance, behavior, and work challenges employees encounter in a timely manner, and provide needed training and coaching to ensure they achieve their full potential. Document disciplinary actions per the HR-POL-23 Constructive Counseling/ Disciplinary Process.
- Work collaboratively with Human Resources in the interview and selection process.
- Facilitate with other Assistant Center Managers, quarterly Business Assistant training sessions.
- Perform Business Assistant duties as needed.
- Provide feedback on business assistant staff appraisals and assist in completing competencies and/or worksite checklists, as requested by supervisor.
- Provide training as necessary for center business staff based on results of competency assessment. Complete associated chart audits.
- In conjunction with the Center Manager, initiate HelpDesk Tickets to IT when related issues arise.
- Communicate maintenance needs with Facilities Technicians.
- In conjunction with Center Manager, submit monthly order for office and custodial supplies.
- In the absence of a Patient Account Manager (PAM), perform daily deposits per the Cash Receipts Policy (F-11).
- Provide and ensure internal and external customer service at designated center and address all patient concerns in accordance with the Patient Concern Procedure (OP-PRO-21). Responsible for monitoring completion of center surveys, Who Made Your Day cards and logging in information on tally sheet.
- If designated, schedule no-show global alerts and mail notification letter for patients who have exceeded the annual number of permitted no-shows. Cancel all future appointments.. Maintain Chesapeake Bay Bridge Tunnel passes with assistance from Business Assistant II.
- Assist Center Manager with payroll functions on a regular basis to ensure ability to perform independently when necessary.
- In collaboration with Center Manager, ensure adequate Business Staff coverage for the center.
- Keeping in mind patient access and appointment utilization, manage patient schedules to ensure accurate scheduling, templating of provider blocks and address rescheduling needs with provider call-outs.
- Assist Center Manager with staff meetings, break-out sessions and minutes.
- Ensure all sections of monthly EOC audit are completed by the last day of the month and notify any responsible party when designated sections are incomplete.
- Perform operational work flow analysis and communicate outcomes and suggestions for improvement.
- Advocate ESRHS and the center by being involved in the community
- Other duties and tasks as directed by the Center Manager.
ADDITIONAL DUTIES ASSIGNED TO DESIGNATED BILINGUAL STAFF
- If qualified, perform interpretation/translation services for ESRHS centers.
- If qualified, assist patients with signing up for the Migrant Clinician Network.
