Assistant Center Manager – Job Summary

The Assistant Center Manager supports the overall operations, clinical coordination, and day-to-day management of the center to ensure high-quality services are provided to clients and families. This role serves as a key support to the clinical and administrative leadership teams by assisting with staff support, operational efficiency, training coordination, scheduling, compliance oversight, and center organization.

The Assistant Center Manager plays an essential role in maintaining a positive center culture, supporting team development, and ensuring smooth daily operations for both staff and clients.

Essential Duties & Responsibilities

Clinical Support Duties

  • Provide client session coverage as needed.
  • Conduct fidelity checks for client programming a minimum of twice monthly per client.
  • Support implementation of behavior intervention and skill acquisition programs.
  • Assist BCBAs with clinical support tasks and assessments as needed.
  • Provide guidance and feedback to RBTs regarding professionalism, performance, and treatment integrity.
  • Support staff training initiatives and ongoing clinical development.

Leadership & Managerial Responsibilities

  • Assist with supervision and mentorship of RBT staff.
  • Participate in bi-annual employee performance reviews.
  • Ensure BCBAs remain compliant with session note conversions and documentation requirements.
  • Analyze operational and staffing challenges and assist in developing effective solutions.
  • Coordinate with the clinical leadership team to support proper onboarding and training of staff.
  • Support center culture initiatives and promote collaboration among team members.
  • Assist with leading monthly center meetings and staff communications.
  • Participate actively in the hiring process for RBTs, BCBAs, and BCaBAs.
  • Assist with development and implementation of center policies and procedures.
  • Support development of center-based programs including social groups, circle time activities, and enrichment opportunities.

Administrative & Operational Responsibilities

Front Office & Communication

  • Welcome visitors, clients, and families into the center in a professional and friendly manner.
  • Answer incoming phone calls and monitor center email and voicemail communications.
  • Redirect messages and inquiries to appropriate departments or team members as needed.
  • Communicate professionally with parents regarding scheduling and non-clinical needs.
  • Schedule staff reminders, meetings, and center communications as needed.
  • Assist with new hire onboarding and orientation preparation.

Scheduling & Documentation

  • Input and maintain RBT schedules within CentralReach.
  • Audit and verify staff hours in Gusto against CentralReach billable hours daily.
  • Review session notes for required signatures and completion.
  • Support data entry, report uploads, spreadsheets, and presentation creation.
  • Assist with co-pay collection and client signature collection when needed.

Compliance & Confidentiality

  • Maintain confidentiality of all personnel, payroll, and client-related information.
  • Complete payroll and administrative tasks in secure and private settings.
  • Ensure compliance with company policies and documentation standards.

Facility & Inventory Management

  • Monitor and report office and clinical supply needs.
  • Ensure supplies are stocked and organized daily, including PPE, office materials, cleaning supplies, and client program materials.
  • Support organization and cleanliness of shared spaces, supply rooms, kitchens, and refrigerators.
  • Follow and assist with daily cleaning procedures and center upkeep.
  • Coordinate catering and logistics for meetings, trainings, and events.

Mail, Deliveries & Event Coordination

  • Receive, sort, and distribute incoming mail and packages.
  • Coordinate outgoing mail and shipments as needed.
  • Assist with preparation and logistics for trainings, meetings, and town halls.
  • Attendance at staff meetings, trainings, and center events is required.

Additional Responsibilities

  • Assist with lunch coverage for client sessions as needed.
  • Collaborate with administrative departments including Human Resources, Finance, Billing, and Training.
  • Support budgeting and purchasing needs alongside the Business Operations Manager.
  • Perform additional administrative or operational duties as assigned.

Qualifications Preferred

  • Minimum of 1 year of experience as an RBT preferred.
  • Leadership or supervisory experience preferred.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to multitask and work collaboratively in a fast-paced environment.
  • Knowledge of ABA principles and center-based operations preferred.
  • Proficiency with CentralReach, Gusto, Microsoft Office, and Google Workspace preferred.

Preferred Experience:

  • Experience serving in a leadership/management role for an ABA provider 
  • Experience collaborating with RBTs and BCBAs
  • Experience working with multiple funding sources 
  • A history of work with children, adolescents, young adults, and/or families both in clinical settings. 
  • Specific training/experience in developmental disabilities and Autism Spectrum Disorders 
  • Proficiency with ABA Data Collection and Practice Management systems such as Central Reach 

Qualifications and Skills

  • Enrollment in or completion of Bachelor's degree in psychology, human services, healthcare, education, or related fields preferred
  • High School diploma or GED required
  • Current Registered Behavior Technician (RBT) certification, or willing to obtain within 60 days of hire
  • Current BLS certification, or willing to obtain within 30 days of hire
  • Valid driver's license
  • Reliable transportation & valid car insurance
  • Pass pre-employment state and federal criminal background checks
  • Experience working in an in-home setting preferred
  • Fluency in English required, bilingual preferred
  • Ability to accept constructive feedback and develop knowledge and skillsets accordingly.
  • Must maintain a professional appearance and adhere to the company dress code.

Physical Requirements

  • Must be able to lift up to 50 pounds
  • Must be able to lift and carry clients with adaptive equipment.
  • Must be able to assume and maintain a variety of postures (kneeling, squatting, crawling, sitting, standing) for extended periods of time.
  • Must be able to sit on the floor or stand for extended periods of time.
  • Must be willing and able to restrain/hold/transport and utilize quick body movements as indicated in the Behavior Intervention Plan in the course of working with children with challenging behavior.
  • Must have the manual dexterity to perform specific computer and electronic device functions.
  • Must be physically present at the assigned job location, which may include home, school, and community placements.
  • Must be able to receive detailed information through oral communication.
  • Must have visual acuity to read and comprehend written communication through a computer, electronic devices, and paper means.
