JOB TITLE: Assistant Campus Operations Manager (ACOM)

Job-Type: Full time

Contract Days: 220 Days

JOB GOAL: This position is responsible for supporting and assisting the management the school's general business operations, under the overall supervision of the District Operations Manager.

OVERVIEW: Reporting directly to the District Operations Manager ("DOM"), the assistant campus operations manager ("ACOM") will manage delegated duties from the DOM to increase the efficiency of the systems and procedures of support of their respective campus operations. This position will take on a variety of operational duties as assigned by the DOM including but not limited: making sure the campus is adhering to the District's policies & procedures for purchasing/procurement, attendance/retention, budget management and other assigned duties by the DOM.

QUALIFICATIONS

Education

  • Bachelor's Degree from an accredited four-year educational institution (Preferred)
  • Master's Degree from an accredited educational institution (Plus)

Experience

  • A minimum of 3-5-years of experience in operations or similar role in education or similar organization

Skills and Mindsets

  • Bilingual in Spanish (Required)
  • Excellent organizational and communication skills, with a good command of the English language and vocabulary.
  • Highly skilled ability to manage multiple tasks, prioritize, problem solve and navigate through ambiguity

PERFORMANCE RESPONSIBILITIES AND DUTIES

Budget and Finance

  • Work closely with the DOM & the Network Support Staff ("NST") to develop and manage their campus' budget & staffing plan.
  • Assist in maintaining accurate records of all financial transactions and submit them to the NST for processing;
  • Assist in reviewing/accounting for budget variances; monitor usage of the school procurement card(s); as well as identify and manage corrective and enhancement actions.
  • Assist in supporting and training campus with issues and understanding of ordering, PO process, etc.

School Operations

  • Assist the DOM with oversight of all essential aspects of campus administration (e.g., time sheets, accounts payable, IT, school safety, procurement, certification(s), campus culture system logistics, facility appearance, campus' supply and asset inventory, campus' food and transportation services by coordinating with service providers and overseeing deliveries etc.)
  • Receive and process any maintenance request forms throughout the school year and during the winter break; review requests for maintenance with the DOM to ensure budget and funds are available.
  • Assist in working closely with the Enrollment Management & Attendance processes (follow the enrollment accountability T-Chart) to ensure their school is fully enrolled, as well ensuring student records are properly maintained and updated at the school, while maintaining a sufficient waitlist, host external visitors, assist with governance and compliance issues, with the support of the NST Enrollment Management Team.
  • Assist to develop and establish effective operations management solutions inclusive of techniques and processes
  • Assist in create additional educational opportunities for operations personnel.
  • Ensure the maintenance of campus facilities and third-party contracts for trash removal, recycling, transportation, and security.
  • Assist in supporting and training campus with issues and understanding campus operations process, etc.

Management/Leadership Oversight \u2013 including but not limited to:

  • Serve on the campus ad hoc committees (safety, health, etc.)
  • Manage OPS aspects of School Readiness; supports principal as requested with other aspects communication w/staff & parents (e.g. newsletters); support their school-facility culture
  • Serve as the Campus Emergency Management Point of Contact

Transportation

  • Serve as the point of contact for our Transportation Operations Monitor (TOM)
  • Work closely with TOM to ensure the safety of our scholars
  • Handle campus parent(s) issues and determine next steps
  • Assume the role of TOM in the absence of TOM if necessary

POLICY and REGULATORY COMPLIANCE

  • Attend training and complete research to understand applicable state statutes, local policies/procedures and federal & state compliance requirements
  • Wayside Schools handbooks and procedures manuals: assist in working with administrators to check and assist with adherence in all areas. Suggest changes to documents as necessary.
