The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University''s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Director of Artistic and Production Planning, the incumbent supports artistic programming and financial operations for Miller Theatre at Columbia University. Responsible for planning and administration for upwards of 100 events per year, including rehearsals, performances, special events, and other artistic projects, including a wide array of University events. Manages budgets, payments, procurement, and related reporting. Oversees artist travel and lodging arrangements and supports the preparation of visa applications. Other related duties as assigned. This on-site position requires occasional evening and weekend hours for concerts and events.

Responsibilities

  • Support artistic programming and financial operations for Miller Theatre at Columbia University
  • Foster a collegial, educational, and inclusive environment to cultivate strengths that enable everyone to do their best work
  • Responsible for the timely processing of artist fee payments, departmental invoices, and consultant contracts; create and monitor payment schedules; manage and update the artist contact database
  • Oversee creation of vendor profiles for artists, composers, ensembles, and service providers; ensure timely receipt and delivery of required documents
  • Independently manage the processing of requisitions and the procurement of services, equipment, and supplies
  • Oversee monthly reconciliation of Columbia ARC reports with local ledger, research and resolve any problems
  • Monitor operating budgets, including artist fees, production, and marketing; and prepare monthly, quarterly, and annual reports
  • Recommend and upon approval implement standardized procedures for the efficient management of internal processes
  • Manage complex artist travel and lodging arrangements, including schedule logistics, booking, and payments; ensure compliance with University policy
  • Responsible for the preparation and administration of visa applications and arrangements, in coordination with Columbia University's International Students and Scholars Office; maintain updated information about legislative revisions and processing lead time
  • Create and maintain season records and reporting of commissions and world premieres, artist and composer statistics, and related materials
  • Oversee office security, unlocks/locks the main and office doors at the start and end of business hours
  • Attend production meetings, performances, and special events as assigned

Minimum Qualifications

  • Bachelor's degree and/or its equivalent is required
  • A minimum of two years of related experience is required
  • Ability to lift and move boxes and equipment weighing up to 20 pounds across the venue, and to frequently climb flights of stairs within Miller Theatre
  • Ability to stand for extended periods of time while staffing events and performances
  • A resume and cover letter must be submitted to be considered for the position

Preferred Qualifications

Related experience in classical music and financial management is strongly preferred

Other Requirements

Must be highly organized, detail-oriented, motivated, flexible, and able to balance multiple competing demands. Excellent written and verbal communication skills are required, as is the ability to interact with a highly diverse group of constituents within and outside the University, utilizing savvy, tact, and discretion. Must be able to handle confidential information with excellent judgment and discretion. A high level of energy, initiative, and creativity is essential. Strong proficiency in Microsoft Word and Excel are required; experience with financial database applications is preferred.
