The AP & Payroll Analyst supports the organization’s financial operations by managing vendor payment activities, administering employee payroll, and performing routine cash reconciliations. This position is responsible for ensuring invoices are processed efficiently, payroll is completed accurately, and financial transactions are properly recorded and reconciled.
The individual in this role will regularly analyze payment and cash activity to help maintain accurate financial records, support internal controls, and provide visibility into cash usage. Success in this role requires strong attention to detail, advanced spreadsheet capabilities, and the ability to work efficiently in a deadline-driven, high-volume environment.
Process weekly payroll for employees, verifying time reporting, benefit deductions, and applicable tax withholdings.
Review and reconcile payroll-related accounts including retirement contributions, benefit deductions, and wage garnishments.
Ensure payroll activities comply with federal and state labor regulations.
Assist with preparation and distribution of year-end payroll documentation such as W-2 forms.
Perform routine bank reconciliations, verifying that ACH payments, wires, checks, and other transactions are properly recorded.
Assist with month-end accounting processes, including reconciling sub-ledgers to the general ledger.
Monitor accounts payable data and cash activity to help forecast cash needs and identify opportunities for improved financial efficiency.
Process and review vendor invoices in a high-volume environment, ensuring proper coding to the general ledger and appropriate cost centers.
Prepare and distribute vendor payments through various methods including electronic transfers, wire payments, and checks.
Maintain vendor records and supporting documentation such as W-9 forms and payment terms.
Review vendor statements and address discrepancies or payment issues as they arise.
Bachelor’s degree in Accounting, Finance, or a related field, or equivalent hands-on accounting experience.
Prior experience within the legal industry is beneficial but not required.
Working knowledge of accounting practices, compliance standards, and financial controls.
Strong numerical aptitude and analytical skills.
Proficiency with Microsoft Office applications, particularly Excel and spreadsheet-based financial analysis.
Ability to work with accounting systems and quickly adapt to new software platforms.
High level of accuracy, organization, and confidentiality when handling financial data.
Strong communication skills with the ability to collaborate effectively with internal teams and external contacts.
