Job Description

Primary Responsibilities

Program Development & Oversight

Develop, implement, and oversee ancillary programs including but not limited to:

oAftercare and extended day programs

oSummer and holiday camps

oEnrichment after-school activities

oSpecialty programs

oCommunity engagement opportunities

oFacility rentals and external partnerships

  • Identify opportunities for new revenue-generating programs aligned with student and family interests.
  • Evaluate program performance, participation trends, and profitability to guide decision-making.
  • Ensure programs maintain high levels of quality, organization, safety, and customer service.

Camp Director Responsibilities

  • Serve as the Summer Camp Director for all summer, holiday, and school break camps.
  • Develop annual camp programming, themes, schedules, and enrichment opportunities that align with the school's mission.
  • Establish enrollment goals and implement strategies to maximize camp participation and revenue.
  • Develop and monitor camp budgets, ensuring programs meet or exceed revenue and profitability targets.
  • Recruit, hire, onboard, schedule, supervise, and evaluate camp staff.
  • Coordinate staff training, emergency procedures, licensing requirements, and student supervision protocols.
  • Oversee daily camp operations, including attendance, staffing ratios, transportation (if applicable), field trips, meal coordination, and communication with families.
  • Collaborate with Marketing and Admissions to develop promotional materials and enrollment campaigns.
  • Evaluate camp programs annually through parent feedback, financial analysis, and operational review, implementing improvements each season.
  • Ensure all camp activities comply with state licensing requirements, school policies, safeguarding expectations, and risk management procedures.

Extended Care Program Management

  • Oversee all Before Care and Aftercare (Extended Care) operations for the school.
  • Develop and maintain a high-quality extended care program that supports student supervision, enrichment, and family needs.
  • Recruit, train, schedule, supervise, and evaluate extended care staff.
  • Monitor daily attendance, staffing ratios, student behavior, and operational procedures.
  • Ensure consistent implementation of school policies, safety protocols, and licensing requirements.
  • Manage parent registration, billing coordination, and communication regarding extended care services.
  • Evaluate staffing levels and enrollment trends to maximize operational efficiency while maintaining quality programming.
  • Develop enrichment opportunities within extended care that enhance the student experience.
  • Monitor program revenue, expenses, and profitability, providing regular reports to school leadership.
  • Identify opportunities to expand extended care offerings based on family demand and school capacity.

Financial Management & Revenue Growth

  • Support the development and management of ancillary program budgets.
  • Monitor enrollment, participation, staffing costs, and operational expenses to maximize efficiency and profitability.
  • Track revenue, expenses, and key performance indicators (KPIs) related to ancillary operations.
  • Prepare reports and updates for school leadership regarding program performance and financial outcomes.
  • Collaborate with finance and admissions teams regarding billing, registration, collections, and payment processes.

Operations & Logistics

  • Coordinate scheduling, staffing, facilities usage, supplies, and operational logistics for ancillary programs.
  • Ensure proper supervision ratios, compliance requirements, licensing expectations, and safety procedures are followed.
  • Maintain accurate program records, rosters, attendance, and operational documentation.
  • Work collaboratively with division leaders and faculty to minimize disruption to instructional operations.
  • Coordinate with facilities and operations teams regarding space usage and event logistics.

Family & Community Engagement

  • Promote ancillary programs through effective communication and marketing efforts.
  • Build strong relationships with families to increase participation and satisfaction.
  • Respond to parent inquiries, concerns, and feedback in a timely and professional manner.
  • Collaborate with admissions and marketing teams to support student recruitment and retention initiatives.
  • Help position the school as a "school of choice" through innovative programming and community engagement opportunities.

Staff Leadership & Supervision

  • Assist with recruiting, onboarding, scheduling, training, and supervising ancillary program staff.
  • Support staff accountability, professionalism, and alignment with school expectations.
  • Provide ongoing coaching and support to program staff to ensure quality programming and positive student experiences.
  • Coordinate substitute coverage and staffing adjustments as needed.

Qualifications

  • Bachelor's degree in Education, Business, Marketing, Hospitality, Educational Leadership, or related field preferred.
  • Minimum of 3 years of experience in program management, school operations, enrichment programming, camps, or related areas preferred.
  • Experience with budgeting, scheduling, and operational coordination preferred.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities and work independently in a fast-paced environment.
  • Proficiency with technology platforms related to scheduling, billing, registration, and communication.
  • Strong interpersonal skills with the ability to collaborate effectively with students, families, faculty, and leadership.

Physical Requirements
