Currently, Aquatech has an immediate need for a full-time Administrative Assistant to the COO to work in our Canonsburg, PA office. The hours are Monday - Friday 8:00am to 5:00pm.
The ideal candidate performs primarily administrative functions involving compiling, scanning and bookmarking, opening/sending daily mail, copying, scanning, faxing, filing, and answering telephone, typing, creating/editing documents, and other administrative/clerical duties as assigned.
Job Description:
Provide high-level administrative support to executive leadership, including calendar management, travel coordination, and meeting preparation.
Manage complex scheduling across multiple time zones and proactively resolve conflicts.
Prepare, edit, and manage confidential correspondence, reports, and presentations.
Provide day-to-day support to the sales team, assisting with issues and providing general administrative support to ensure smooth daily sales operations.
Organize and maintain files, records, and contact databases.
Manage and coordinate various office tasks and projects to ensure smooth workflow.
Track and follow up on key projects, deadlines, and deliverables to ensure alignment with priorities.
Handle sensitive information with the highest level of discretion and professionalism.
Process expense reports, invoices, and purchase orders accurately and promptly.
Support the sales team, in putting together bid proposals, prequalifications, hub spot, etc.
Travel arrangements for project and sales support
Additional clerical/Administrative duties as requested
Additional duties as assigned.
Skill Requirements:

Minimum Qualifications:

Preferred Associates Degree
