Admissions And Records Assistant II
This position supports Admissions and Records Assistant III in the management of front desk operations at the Henderson Campus, with the flexibility to provide coverage at any of the three main campuses of CSN as required. Operating under limited supervision, Admissions and Records Assistant II is tasked with performing a variety of daily functions related to enrollment services and records retention, thereby supporting students, faculty, and staff. The successful candidate will be expected to exhibit proficiency in PeopleSoft, OnBase, Cisco Finesse, CSN's queuing system, and Greymatter. Essential qualities for this role include strong written and verbal communication skills, punctuality, and consistent attendance. This position plays a vital role in enhancing the overall efficiency of the Office of the Registrar and in supporting its operations across all CSN locations. Under direct supervision, responsibilities include, but are not limited to:
- Respond to student, alumni, faculty, and staff inquiries regarding enrollment and educational records, ensuring compliance with institutional policies and procedures.
- Provide clear, accurate guidance on Registrar-related processes via phone, email, and in-person communication.
- Handle and protect confidential student and employee information in accordance with FERPA and institutional standards.
- Perform accurate data entry and a variety of clerical tasks to support daily office operations.
- Maintain and update student records within the Registrar's system to ensure accuracy and integrity.
- Manage and process transcript requests from initiation to completion, adhering to privacy regulations and service timelines.
- Assist in planning and executing Commencement ceremonies and related logistics.
- Provide support to student employees by responding to their inquiries and assisting with any issues or challenges they may encounter.
- Develop the ability to assess student needs and appropriately direct them to the relevant department, including Financial Aid, the Cashier's Office, Academic Advising, Nevada Promise, and other campus resources.
- Support additional Registrar's Office functions and projects as assigned.
Minimum Qualifications:
Graduation from high school or equivalent education and two years of clerical experience, one of which was in a college admissions and/or records office or relevant student services area which included maintaining student information, data entry, reviewing applications and student contact; OR one year of experience as an Admissions & Records Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.
Preferred Qualifications:
- Experience working in a community college or student services environment.
- Demonstrated ability to work effectively with a diverse and multicultural student population and/or workforce.
- Proficiency in using student information systems (e.g., PeopleSoft, Banner, or similar platforms).
- Bilingual, with the ability to communicate effectively in more than one language. Spanish preferred.
Other Associated Factors:
- Serve as the primary point of contact at the front desk, providing support and assistance in a high-traffic environment; this position requires sitting at the front desk for the entirety of the shift.
- Perform duties in a standard office setting with typical working conditions.
- Engage in light physical activity, including walking, bending, and lifting items up to 15 lbs.
- Work extended hours during peak registration periods to support increased student demand.
- Remain flexible and available to provide front-desk coverage at any of CSN's three main campuses as needed.
Weekly Schedule:
Monday - Friday 8:00 am - 5:00 pm
Starting Salary
Classified Grade 25 Step 1 - $42,636.96
This position is contingent upon ongoing and available funding.
Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
